A product category is a group of products that share common additional attributes (user-defined attributes, like color or material).

Product categories are a convenient way to manage variant, batch, and serial number settings for many products at once.

For example, you can have a product category Products with serial numbers that contains all products identified by serial numbers.

Each product belongs to a product category. One product category can contain multiple products, but one product cannot belong to multiple product categories.

  1. Go to Company.
  2. Under Enterprise, click All catalogs.
  3. Under Products, click Product categories.

In this list, you can:

Viewing product categories

To view product categories:

  1. Go to Company.
  2. Under Enterprise, click All catalogs.
  3. Under Products, click Product categories.

The list displays the details for each product category. The details may vary depending on the list settings. The following details can be displayed:

  • Description. A product category name or short description.

To quickly find a product category:

  • Sort the list by any column by clicking the column header. To reverse the sorting order, click the column header again.
  • Search the list using the search field above the list.

To view details of a product category:

  • Double-click a product category line.

Creating product categories

To create a product category:

  1. Go to Company.
  2. Under Enterprise, click All catalogs.
  3. Under Products, click Product categories.
  4. Click Create.
  5. Specify product category details:
    • Description. Enter a brief name or description of the product category.
    • Variants. Select this checkbox if you want products in this category to have variants.

      It is only available if the Inventory accounting by variants checkbox is selected in Settings > Purchases/Warehouse.

      Note. Even if a product category has this checkbox selected, it still can contain products without variants. To do it, clear the Variants checkbox in a product's card during its creation. To learn more, see Creating products.

      When this checkbox is selected, the following details are available:

      • Configure variant attribute set. Click this link to create additional attributes that apply to all product variants belonging to this category. For example, products in category Shirts may have variant attributes Color, Material, and Size.
      • Mandatory variant usage. Indicates that a variant is required whenever a product belonging to this category is specified in a document.

      Note. Even if a product category has this checkbox selected, it still can contain products without mandatory variants. To do it, clear the Mandatory variant usage checkbox in a product's card during its creation. To learn more, see Creating products.

      • Configure variant exception. Click this link to create variant exception rules. These rules prohibit variant generation from certain combinations of additional attributes.

      For example, a company sells shirts of different colors and materials, except green silk shirts. Then you can create a rule not to generate shirt variants based on attributes "Silk" and "Green".

      • Variant templates. Click this link to create variant templates for products belonging to this category.

      Variant templates define a sequence in which additional attributes can be specified when selecting products in business documents. For example, if you create a sales order for a shirt that has multiple sizes, colors, and materials, you might want to make sure that size (the most crucial parameter) is selected first, material next, and color last.

      • Use matrix selection form. Select this checkbox to enable a convenient variant selection matrix (see screenshot below) for all products in this category. This applies to all documents where products can be specified.

    • Batches. Select this checkbox to enable accounting by batches for products in this category.

      It is only available if the Inventory accounting by batches checkbox is selected in Settings > Purchases/Warehouse.

      Note. Even if a product category has this checkbox selected, it still can contain products without accounting by batches. To do it, clear the Batches checkbox in a product's card during its creation. To learn more, see Creating products.

      When this checkbox is selected, the following details are available:

      • Batch settings. Specify batch settings and policies that determine batch accounting for the product category. For example, specify a batch tracking method or enable tracking by expiration date.
    • Serial numbers. Select this checkbox to enable accounting by serial numbers for products in this category.

      It is only available if the Use product serial numbers checkbox is selected in Settings > Purchases/Warehouse.

      Note. Even if a product category has this checkbox selected, it still can contain products without accounting by serial numbers. To do it, clear the Serial numbers checkbox in a product's card during its creation. To learn more, see Creating products.

    • Configure attributes set. Click this link to create additional attributes that apply to all products in this category. For example, products in category Shirts may have attributes Color, Material, and Size.

      Note. It is recommended to use product variant attributes instead, because that mechanism is much more powerful and flexible.

  6. Click Save and close.

Editing product categories

To edit a product category:

  1. Go to Company.
  2. Under Enterprise, click All catalogs.
  3. Under Products, click Product categories.
  4. Double-click a product category line.
  5. Edit the product category details. You can:
    • Change product category description.
    • Manage additional attributes for products.
    • Manage additional attributes for product variants.
    • Manage product variant exception rules.
    • Enable or disable matrix selection form for product variants.
  6. Click Save and close.
