A product variant defines a product dimension or a combination of dimensions such as color, size, or type. For example, a T-shirt is a product and a red T-shirt of XL size is the product variant.

You can register multiple variants of a product instead of registering multiple products. This helps you keep your Products catalog more concise and easier to navigate through. You can also quickly switch between the product variants in sales and purchase documents.

You can register and manage product variants if the Inventory accounting by variants checkbox is selected in Settings > Purchases / Warehouse > Inventory (products).

To manage product variants, use the Product variants catalog. You can do the following:

Viewing product variants

To view product variants:

  1. Go to Sales > Catalogs > Products.
  2. Double-click a product line.
  3. At the top of the product card, click Product variants.

The Product variants list columns can vary depending on the list settings. By default, the following column is available:

  • Description. A product variant name or short description.

To quickly find a product variant:

  • Sort the catalog by column by clicking a column header. To change the sorting order, click the header again.
  • Search the catalog using the search field above the list.

To view the product variant details:

  • In the Product variants catalog, double-click a product variant line.

Creating product variants

You have the following options:

Creating description-based product variants

A description-based product variant is a simple text description of a product variation. For example, red T-shirt. Such variant is not based on pre-defined product attributes.

To create a description-based product variant:

  1. Go to Sales > Catalogs > Products.
  2. Double-click a product line.
  3. On product card, select the Additional data tab.
  4. In the Invoicing section, select the Variants checkbox.
  5. At the top of the product card, click Product variants.
  6. Click Create.
  7. In the Product variant (create) window, specify the attribute description.
  8. Click Save and close.

Creating attribute-based product variants

An attribute can represent a product dimension such as color or size. You can pre-define attributes and then combine them to create multiple product variants.

To create a product variant based on predefined attributes:

  1. Add variant attributes.
  2. Create a product variant based on variant attributes.

Adding variant attributes

You can add variant attributes to a product category. Then you can create attribute-based variants of products assigned to this category.

To add a variant attribute:

  1. Go to Sales > Catalogs > Products.
  2. Double-click a product line.
  3. On the General tab, in the Product category field click view_icon2.png.
  4. On the product category card, click Configure variant attributes.
  5. In the Additional attributes window, click Create.
     The attribute card is displayed.
  6. In the Description field specify the attribute short description. For example, t-shirt color.
  7. In the Value type field, specify Additional value.
  8. Click Save.
  9. Select the Values tab and click Create.
  10. In the <attribute description> property value (Create) window, enter or select the following:

    Field

    Description

    Description

    The attribute value. For example, a color name.

    Full description

    A detailed description of the attribute value.

    Included in group

    The group where the attribute value belongs.

    Groups classify attribute values. This helps you quickly find a certain attribute value when the values are numerous.

    For example, you can add groups of bright and dark colors.

    To add a group:

    1. Open the Included in group drop-down list and click plus.png.
    2. In the Select a group of <attribute description> property values window, click Create group.
    3. In the <attribute description> property value group window,
       specify the group name and parent group.
    4. Click Save and close.
       The new group appears in the Select a group of <attribute description> property values window. To select it, click Select.
  11. Click Save and close.
  12. Do one of the following:
    • To add more attribute values, repeat steps 9-11.
    • To finish, on the attribute card, click Save and close.

Creating product variant based on variant attributes

To create a product variant based on variant attributes:

  1. Go to Sales > Catalogs > Products.
  2. Double-click a product line.
  3. Select the Additional data tab.
  4. In the Invoicing section, select the Variants checkbox.
  5. At the top of the product card, click Product variants.
  6. Click Create. The Product variant (create) window is displayed.
  7. In the Attributes and values section, select attribute values.
     The values appear in the Description field and make up the product variant description. You can edit it.
  8. Click Save and close.

Editing product variants

To edit a product variant:

  1. Go to Sales > Catalogs > Products.
  2. Double-click a product line.
  3. At the top of the product card, click Product variants.
  4. Double-click a product variant line.

  6. Click Save and close.
