Project management overview

Project management is a process of initiating, planning, executing, monitoring, and completing a project according to the project goals and schedule.

For managing projects, 1C:Drive provides the following tools:

Tool Description
Projects catalog Stores a list of all projects and provides tools to manage them. For details, see Projects catalog overview.
Project workplace with several view modes Provides tools to create, schedule, and monitor project phases. Each view mode shows only the details relevant for a certain project activity such as phase scheduling or monitoring. For details, see Project workplace overview.
Project phase reports Provide information on project phase statuses, due dates, and percent of completion. For details, click here.

1C:Drive supports the following steps of the project management process:

Setting up project management process

When you need to start the project management process, do the following:

  1. To be able to create and manage projects, go to Settings > Company. Then, under Project management, select the Use project management checkbox.
  2. To be able to record and track income and expenses by project or project phase, select the Project-based accounting checkbox.
  3. To be able to specify a sales order, work order, or fixed asset that a project is arranged for, under Project management, select the Use related items checkbox. Then you will be able to view projects and related orders or fixed assets in reports.

Adding projects

When you need to add a project, go to Company > Projects and create a project in the Projects catalog.

As you create a project, you can specify its start date, end date, work schedule, and settings for rescheduling project phases automatically. If you want to record income and expenses not only by project but also by its phases, select the Track income and expenses by project phase checkbox in the project settings. After you select the checkbox, you will be able to select project phases in business documents. Posting them will make transaction records with project phase details. Then you will be able to view reports on income and expenses by project phase.

To save time on project details input, you can load a project from a template. For details, see Loading project from template.

Creating work breakdown structure

If you want to create the work breakdown structure (WBS) of a project, add project phases in the project workplace. You have the following options:

  • For simple projects, create a single-level list of project phases.
  • For complex projects, create a hierarchy of project phases and subphases.

At any moment, you can rearrange the created project WBS. For example, change subordinate or previous phases or reschedule them. For details, see Rearranging work breakdown structure.

Creating and assigning tasks

For projects with WBS, you can create and assign tasks that need to be completed within a project phase.

You can create and assign tasks only when a project phase is started and its status is In progress. For details, see Creating tasks.

The created task will appear on the assignee's My tasks pane of the 1C:Drive Home page.

Completing tasks

After a task is created and assigned, it appears on the task assignee's My tasks pane of the 1C:Drive Home page. From this pane, the assignee can open the task, review its details, and indicate that work on the task is started. For details, see Starting working on tasks. As you progress, you have an option to indicate the task percentage of completion. For details, see Specifying percentage of task completion.

As an assignee finishes working on the task, they need to set the task status to Completed. Then the task will disappear from the assignee's My tasks pane. For details, see Completing tasks.

Monitoring task statuses

As a task author, you can monitor the task completion progress. To do this, use any of the following options:

For both of these options, you need the Administrator access rights.

Monitoring and changing project statuses

You can monitor and change project statuses in the Projects catalog. For details, see Monitoring and changing project statuses.

Monitoring and changing project phases

You can monitor project phases and change their details (such as dates and status) using the following:

  • The project workplace with the following view modes:
    View mode Description
    Planning Shows fields for the planned start and end dates of project phases.
    You can select this view mode for project phase scheduling.
    Actual start Shows fields for planned and actual start dates of project phases. The phase lines are highlighted in different colors to help you quickly determine a phase state. For details, see Phase line colors.
    You can select this mode for monitoring whether project phases start on schedule.
    Actual end Shows fields for planned and actual end dates of project phases. The phase lines are highlighted in different colors to help you quickly determine a phase state. For details, see Phase line colors.
    You can select this mode for monitoring whether project phases are completed on schedule.
    Full Shows all project phase details.
    You can select this mode to review statuses, due dates, duration, and assignees of project phases.
  • Project phase reports.

Project phase reports are available from the project workplace and the More reports list. From the project workplace, you can view reports for a single project. From the More reports list, you can view reports for a single or multiple projects.

The following table shows the reports available from the project workplace, their description, and steps to open them:

Report Description How to open
Overdue project phases Shows project phases past their planned end date and still pending completion.
  1. Go to Company.
  2. Under Project management, click Projects.
  3. In the Projects catalog, do any of the following:
    • Select a project line and click Project workplace.
    • Double-click a project line. Then, in the project details window, click Project workplace.
  4. In the project workplace, click Project phases reports and select a report.
Project phases with late start date Shows project phases with the actual start date later than the planned start date. The phases are pending completion, but not overdue yet.

The following table shows the reports available from the More reports list, their description, and steps to open them:

Report Description How to open
Overdue project phases Shows project phases past their planned end date and still pending completion (the phase status is other than Completed).
  1. Go to Company.
  2. Under Reports, click a report name. If the report name is missing, click More reports. Then, in the Company reports window, under Project management, click a report name.
  3. Specify the report settings and click Generate. To view a report by all projects, keep the Project (in group) setting blank.
  4. Click Generate.
Project phases progress Shows the percentage of project phase completion.
Project phases to complete soon Shows project phases with the planned end date within the selected period (such as this week).
Project phases to start soon Shows project phases with the planned start date within the selected period (such as this week).
Project phases with late start date Shows project phases with the actual start date later than the planned start date. The phases are pending completion, but not overdue yet.

Monitoring sales and income and expenses by project or project phase

This section is applicable if project-based accounting is applied (Project-based accounting checkbox is selected in Settings > Company, under Project management).

To monitor sales and income and expenses by project or project phase, use the following reports:

Report Description How to open
Net sales Shows the product quantity sold, sales amount, net sales amount, cost of goods sold, gross profit, and margin by project or project phase within the selected period.
  1. Go to Analysis.
  2. Under Sales, click Net sales.
  3. Specify the report settings and click Generate. To view the report by all projects and project phases, keep the Project and Project phase checkboxes cleared.
  4. Click Generate.
Income and expenses by project Shows all accrued income, expenses, and profit or loss by project or project phase within the selected period. This data is before month-end closing procedure.
  1. Go to Analysis.
  2. Under Financial result, click Income and expenses by project.
  3. Specify the report settings and click Generate. To view the report by all projects and project phases, keep the Project and Project phase checkboxes cleared.
  4. Click Generate.
Cost of sales by project Shows income, expenses, and profit or loss by project or project phase within the selected period. This data is after month-end closing procedure.
  1. Go to Analysis.
  2. Under Financial result, click Cost of sales by project.
  3. Specify the report settings and click Generate. To view the report by all projects and project phases, keep the Project and Project phase checkboxes cleared.
  4. Click Generate.
