Monitoring and changing sales order statuses
You can monitor sales order statuses in the Sales orders list. To open it:
- Go to Sales.
- Under Sales, click Sales orders.
You can track receipt status, payment status, relevance, and lifecycle status. Line colors help you quickly differentiate between overall statuses.
Track sales order statuses in the following columns:
- . Delivery status. Shows progress on a sales order delivery:
- . Fulfilled in full. You have issued all ordered products to customer and registered the related goods issues or sales invoices.
- . Fulfilled in part. You have issued a part of the ordered products to customer and registered the related goods issues or sales invoices.
- . Not fulfilled. You have not issued the ordered products to customer yet.
The circle color indicates whether a sales order delivery meets the schedule:
- Green. On schedule.
- Orange. Due today.
- Red. Overdue.
- . Payment status. Shows progress on a sales order payment:
- . Fulfilled in full. A customer has paid for all ordered products and you registered the related payment documents (such as bank payments).
- . Fulfilled in part. A customer has paid for a part of the ordered products and you registered the related payment documents (such as bank payments).
- . Not fulfilled. A customer has not paid for the ordered products yet.
The circle color indicates whether a sales order payment meets the schedule:
- Green. On schedule.
- Orange. Due today.
- Red. Overdue.
The payment status icons are shown only for sales orders created for customers with the AR/AP details by order enabled (the AR/AP details by order checkbox is selected in the customer's card).
- . Relevance. Shows whether you have completed processing a sales order. Orders with a check mark in the Relevance column require no more actions.
- Lifecycle status. Indicates a sales order processing step:
- Draft. Indicates that a sales order was saved for further review or editing.
- Open. Indicates that sales order processing has not started yet.
- In progress. Indicates that sales order processing is in progress.
- Completed. Indicates that sales order processing is completed.
Changing sales order statuses
During sales order processing, its delivery and payment statuses are changed automatically. This applies when you create and post goods issues (or sales invoices) and payment documents (such as bank payments) based on the sales order.
A sales order also has the lifecycle status. It indicates the sales order processing step. Steps can vary depending on your business needs. In general, a sales order is a part of the quote-to-cash process. You can change the sales order lifecycle status manually according to the current processing step.
1С:Drive supports different sets of predefined lifecycle statuses. They depend on whether you use only predefined statuses or custom statuses as well. For details, see Setting up sales orders. When you create a sales order, its lifecycle status is automatically set to Open.
Then, change the lifecycle status as you need:
Condition | Action |
---|---|
You create and save a sale order for further review or editing. | Set the Draft status. |
You start sales order processing. | Set the In progress status. |
You have issued the ordered products to a customer and the customer paid for them. | Set the Completed status. |
To change the sales order lifecycle status:
- Go to Sales.
- Under Sales, click Sales orders.
- In the Sales orders list, do either of the following:
- Double-click a sales order line. Then, in the Lifecycle status field of the sales order, select a status.
- Select a sales order line. If you need to change status for multiple sales orders in one click, select their lines while holding down Shift or Ctrl. Then, click Change status and select a status.
- Click Save.
To learn more about lifecycle statuses, see Lifecycle statuses in orders.
