Recruitment process

Recruitment process is a process of finding and hiring suitable candidates for specific job positions.

1C:Drive supports the following recruitment process steps:

  1. Set up recruitment process
  2. Register vacancies
  3. Register candidates
  4. Register candidate interactions.
  5. Optional: Suspend or cancel vacancies
  6. Close vacancies
  7. View Vacancy filling report

Setting up recruitment process

To be able to manage the recruitment process:

  1. Go to Settings > HCM and select the Enable Recruitment subsystem checkbox.
  2. Register job positions that a company opens vacancies for. See Creating positions.
  3. Register vacancy processing steps specific to your recruitment process. See Creating vacancy stages.
    For example, stages "Initial contact with a candidate", "First interview', and "Final interview".
    You will be able to register information about interactions with candidates at each stage.
  4. Register statuses of vacancy processing steps. See Creating vacancy stage statuses.
    The statuses will be used to indicate the result of an interaction with a candidate at a certain vacancy processing step. For example, if stage "First interview" has status "Passed", this means a candidate has passed the first interview for the vacancy.
  5. If you plan to process similar vacancies, create vacancy templates. See Creating vacancy templates.
  6. Register reasons for rejecting a candidate for a vacancy. See Creating candidate rejection reasons.
    You will be able to specify a rejection reason while registering information about an interaction with a candidate.

Registering vacancies

When a company opens a vacancy, register it in the Vacancies catalog and set its status to Active.

You can use any of the following options:

Registering candidates

When a candidate for a vacancy is found, register the candidate in the Candidates catalog. For details, see Creating candidates.

Registering candidate interactions

In 1C:Drive, it is assumed that a candidate for a vacancy goes through the vacancy processing steps. At any stage, you might interact with the candidate (for example, conduct an interview). When such an interaction occurs, register its details, including the stage and stage status. To do this, use any of the following options:

  • Create a candidate interaction from the Recruitment workplace
  • Create a candidate interaction from the Candidate interactions catalog
  • Generate a candidate interaction from the Candidates catalog
  • Generate a candidate interaction from the Vacancies catalog

The difference between these options is that different details are automatically filled in a new candidate interaction. It is recommended to use the Recruitment workplace. For example, if you use it, both candidate- and vacancy-related details are automatically filled in. If you use the Candidates catalog, only candidate-related details are automatically filled in.

You can create as many candidate interactions as you need. If a candidate interaction is final, specify Final decision on the candidate. If a candidate fits for a vacancy and the decision is Approved, close the vacancy.

Suspending or canceling vacancies

You might need to stop processing a vacancy temporarily or permanently. In this case, change the vacancy status as follows:

  1. Go to HCM > Vacancies.
  2. In the Vacancies catalog, double-click a vacancy line.
  3. In the vacancy card, set Status to one of the following:
    • Suspended. Indicates that vacancy processing is stopped temporarily.
    • Canceled. Indicates that vacancy processing is stopped permanently.
  4. Click Save and close.

Closing vacancies

When a candidate for a vacancy is approved, close the vacancy as follows:

  1. Go to HCM > Vacancies.
  2. In the Vacancies catalog, double-click a vacancy line.
  3. In the vacancy card, set Status to Closed.

After the vacancy is closed, you can continue to register the new employee and follow other steps of the Payroll process.

Viewing Vacancy filling report

To help you analyze the recruitment process, 1C:Drive provides the following report:

Report Description How to open
Vacancy filling report Shows candidate interactions performed for each vacancy and final decisions on candidates for those vacancies. 1. Go to HCM.
2. Under Reports, click Vacancy filling report.
3. Specify the report settings.
Click Generate.
