Managing restock reminders

Objectives
1C:Drive version 1.6.3 introduces stock level control lists—a new feature that allows you to:
- Specify a list of critical products that require regular (for example, daily) inventory level control.
- Get automated notifications whenever a product from this list is below minimum level.
After completing this tutorial, you will:
- Learn to create and manage stock level control lists.
Prerequisites
To complete this tutorial, it is recommended that you:
- Have a basic understanding of Demand planning tool in 1C:Drive.
It is also recommended that you complete the tutorial using the latest 1C:Drive demo infobase. It already contains many data items you might need for this and other tutorials—such as counterparties, products, or operations. You are free to use any other infobase, but in that case you will have to create these data items on your own.
Case description
North Star Computers is a company trading in PC hardware. They purchase computer components, assemble them, and sell the branded computers. Some of the components are optional, while some are critical for business.
For uninterrupted operation, the company requires that a certain minimum stock of each critical component is always maintained at their warehouses.
Assume that the Purchase manager wants to monitor stock level of some components personally, while letting Assistant purchase manager monitor the other ones.
Let's see how we can use the new Stock level control functionality to notify the managers whenever stock level of a critical component falls below minimum, and to help quickly restock it to maximum level.

1. Setting up 1C:Drive
Let's start with making several quick changes to 1C:Drive default settings. These changes are needed to run the tutorial.
Enable stock level control.
By default, the Stock level control functionality is disabled.
To enable it:- In Settings, under Accounting settings, click Purchases/Warehouse.
- Under Demand planning, select the Use stock level control checkbox.
Now, when you click Purchases in the main menu, you can see the Stock level control link in Planning section.

2. Filling initial data
The next step is to fill 1C:Drive with the initial data you will need during the tutorial.
Set minimum stock levels for products.
This is necessary for Stock level control functionality to function. If a product or a product variant has no minimum stock level specified, Stock level control will not be able to notify you of its low stock.
To do this:- Open a product’s card.
- On the link bar, click More actions > Reorder point settings.
- Click Create, fill in data as on the screenshot below, and click Save and close:

Repeat for each product according to the table:

Create a company named North Star Computers.
This step is optional. You can skip it and complete the tutorial using any other company if you want—but make sure that at the beginning of the tutorial, the company has none of the products listed below in its stock. Otherwise, the tutorial might not work as intended.Create accounting policy for your company:
- Specify Effective date that precedes any of the documents you will create during this tutorial. 01.01.2000 is a safe choice.
Set up system email account.
This is necessary if you want to receive restock notifications by email.
To do it:- Go to Settings and under Application settings, click Organizer.
- Under Email and business interactions, click Service email account.
- Fill in system account settings. If you need assistance, contact your system administrator.
Create users Purchase manager and Assistant purchase manager that will receive restock notifications.
To do it:- Go to Settings and under Application settings, click Users and rights settings.
- Under Users, click Users.
- Click Create, fill in usernames and emails according to the table below, and click Save and close.
Username Email Purchase manager (any email address you have access to) Assistant purchase manager n/a This step is optional. You can skip it and complete the tutorial using any other users if you want—but make sure that at least one user has an email address specified. Otherwise, no email notifications will be sent.
3. Registering purchase of components
Now it is time to create a supplier invoice that registers the purchase of the computer components.
To create the invoice, go to Purchases > Supplier invoices and click Create. Then, enter the invoice details as on the screenshot below and click Post and close.

Note the quantities of components purchased. All components are purchased above their respective minimum levels, with the exception of ASUS RT-AC1200 and MOUSE IBALL FREEGO MINI (white variant) that are purchased below the minimum.
To make sure that the components are actually delivered and received, use the Available stock report:

Note that this report does not offer product breakdown by variant, so both black and white variants of MOUSE IBALL FREEGO MINI are displayed in a single line.
4. Setting up stock level control
Now that all components are purchased and placed in the company’s warehouses, we can proceed with stock level control.
First, you need to create a stock level control list for Purchase manager.
To do this, go to Purchases > Stock level control and click Create. Then, enter the details as on the screenshot below and click Save and close.
As you can see, Purchase manager controls only stock level for ASUS RT-AC1200, but considers it critical enough to be checked twice a day and receive an email notification as well.
For your convenience, when setting up the stock check schedule, it is recommended that you specify time that will come very soon. For example, if you create the stock control list at 3:55 PM, set the check time to 4:00 PM. This way, you will not have to wait long to test the notification.
Then, create another Stock level control list for Assistant purchase manager.
This list contains less important products, so standard once-a-day check is enough and email notification is not required.
Note that there are two lines for MOUSE IBALL FREEGO MINI in the Products section, each line having a different variant. This means that stock level check will be performed for each listed variant separately. If no variant is specified for a product with variants, a separate stock level check will be performed for each variant of that product (except variants without Reorder point settings).
5. Receiving notifications
To start receiving notifications, all you have to do now is sign on as Purchase manager and wait for the time scheduled for the stock level check.
When the check is completed, you should see the following:- A “bell” notification in the top bar. It is displayed immediately after the check is completed.
Click it to view the notification:
- Low stock level item in the To-do list on the home page. It is displayed when the To-do list is refreshed, which might take time.
To refresh the To-do list manually, click
at the bottom right of the list.
- New message in your email inbox. Delivering this message also might take time.

- A “bell” notification in the top bar. It is displayed immediately after the check is completed.
Click either notification to open the Demand planning tool. Note that in Demand planning, Company and Stock control list filters are automatically set up to show only products from the specific stock control list.
Initially, the product list in Demand planning is empty. To fill it, click Calculate.
As you can see, Demand planning tool displays ASUS RT-AC1200 because its current stock (150) is below the minimum (200), and proposes to purchase another 850 units of this product in order to reach the maximum level (1000).
If you want, now you can proceed with Demand planning and generate a purchase order for 850 pcs of ASUS RT-AC1200.
Alternately, you could sign on later as Assistant purchase manager and view their restock notifications. The only notification should be about MOUSE IBALL FREEGO MINI (white variant) because its current stock (50) is below the minimum (100). Feel free to check it!
