Monitoring and changing project phase statuses

To monitor and change a project phase status:

  1. Go to Company.
  2. Under Project management, click Projects.
  3. In the Projects catalog, do either of the following:
    • Select a project line and click Project workplace.
    • Double-click a project line. Then, in the project details window, click Project workplace.
  4. In the project workplace, in the View mode field, select any mode except Planning.
  5. Locate a phase and check its status in the Status column. The status can be one of the following:
Status Description
Open Indicates that a phase is not started yet. This status is assigned by default to new phases. For a phase with this status, you cannot create tasks.
In progress Indicates that a phase is already started. For a phase with this status, you can create tasks.
Completed Indicates that a phase and all its tasks (if any) are already completed. For a project with this status, you cannot create new tasks.

Note. In the Actual start and Actual end view modes, phase details can be highlighted in different colors. This can help you quickly determine phase states. See Phase line colors.

  1. To change a phase status, do either of the following:
    • For a phase or subphase without subphases, in the the Status column, select a status.
    • For a phase or subphase with subphases, in the the Status column, select statuses of the subphases. The phase status will be calculated automatically depending on the selected subphase statuses.

As you select phase statuses, consider the following rules:

  • You can change statuses only in the predefined order: Open > In progress > Completed or Completed > In progress > Open.
  • For a phase with subphases, the status is calculated automatically depending on the subphase statuses:
    • The phase status is Open if each subphase status is Open.
    • The phase status is Completed if each subphase status is Completed.
    • In other cases, the phase status is In progress.
  • As you select the In progress status, the actual start date of the phase is set to the current date. You can change it.
  • As you select the Completed status, the actual end date of the phase is set to the current date. You can change it.
  • To set the Completed status for a phase with active tasks (their status is other than Completed), complete the tasks. Next to such phases you will see active_tasks.png.

Phase line colors

In the project workplace, project phase details can be shown in different colors. This can help you quickly determine phase states.

The following table lists view modes with colored phase lines, colors, and the related phase states:

View mode Color Phase state
Actual start Red Not started yet.
In this phase state, the actual start date is blank, while the planned start date already passed.
Actual start Gray Completed.
Actual end Red Not completed, overdue.
In this phase state, the planned end date is earlier than the current date. The actual start date is filled in, while the actual end date is blank.
Actual end Gray Completed.
In this phase state, the actual end date is filled in.
Actual end Green Started earlier than planned. Neither completed nor overdue yet.
In this phase state, the planned end date is later than the current date. The actual start date is filled in, while the actual end date is blank.
