Set up basic warehouse operations only after you create the structure of all warehouses. For more information on how to do it, see Distribution warehouse structure.

Here, you will learn how to set up warehouse records, activate and create system objects required for warehouse management.

Activate Warehouse management

Here you can activate warehouse operations.

When you enable the function, the following applies:

  • Actual goods flow at warehouses is recorded using separate warehouse documents.
  • Goods receipts/goods issues and invoices are not registered at the same time

What you can do after activation

Now you have access to:

  • Warehouse operations for inventory flow management.
  • Warerooms catalog.

Warehouses and stores catalog: Basic warehouse operations

Set up the processes to manage inbound and outbound inventory flows and warehouse inventory count operations.

Set up each warehouse individually depending on the warehouse policy and rules. For example, you can enable registering goods receipt operations. However, you cannot register goods issue, surplus inflow, shortage outflow, adjustment due to stock quality change, and so on.

How to set up goods receipt management processes

1. Open the catalog and then open a warehouse card.

2. Click More actions → Allow attribute editing. Select the options and click Allow editing.

3. Click the Warehouse management parameters tab, select the Use Warehouse Management for receipt of goods check box, and specify the start date.

4. Select the Enable goods receipt statuses check box.

Note

Statuses are required if your company uses warerooms and bin location or accounts for goods by batches across the warehouse.

How to set up goods issue management processes

1. Open the catalog and then open a warehouse card.

2. Click More actions → Allow attribute editing. Select the options and click Allow editing.

3. Click the Warehouse management parameters tab, select the Use Warehouse Management for issue of goods check box, and specify the start date.

4. Select the Enable goods issue statuses check box.

How to set up registration of surplus, shortage, reclass, and stock quality change

1. Open the catalog and then open a warehouse card.

2. Click More actions → Allow attribute editing. Select the options and click Allow editing.

3. Click the Warehouse management parameters tab, select the Use goods issues/receipts for surplus, shortage, stock reclass, and damage check box, and specify the start date.

How to activate inventory count statuses

1. Open the catalog and then open a warehouse card.

2. Click More actions → Allow attribute editing. Select the options and click Allow editing.

3. Click the Warehouse management parameters tab and select the Enable statuses in inventory count sheet check box.

Activate Control real time stock

Note

The system controls stock balance in warerooms and storage bins when running warehouse operations.

1. Open the catalog and then open a warehouse card.

2. Click More actions → Allow attribute editing. Select the options and click Allow editing.

3. Click the Warehouse management parameters tab and select the Control real time stock check box.

Warerooms catalog

Create a wareroom structure to use it in the warehouse operation management.

Warerooms are separate inventory storage locations. Provide warerooms when:

  • Financial responsibility is divided by a warehouse area. Person in charge is set for each wareroom.
  • Inventory is allocated by goods storage conditions.
  • Warehouse documents are registered for each wareroom (storage area) independently.

You can use warerooms for warehouses of both Wholesale warehouse and Retail store types. For example, you can use retail store's warerooms to ship goods from different store sections.

How to activate the Warerooms catalog for a warehouse

1. Open the catalog and then open a warehouse card.

2. Click More actions → Allow attribute editing, select required options, and click Allow editing.

3. Click the Warehouse management parameters tab, select the Use warerooms check box, and specify the start date.

Note

You can start using warerooms for a specific warehouse at any time.To use warerooms, you need balance entry documents with the Wareroom address of owned inventory operation type. To find the documents, go to Master data and settings > Initial filling > OB entry documents. The operation type indicates the goods transfer from a warehouse (as a single storage location) to its warerooms.

How to create a new wareroom

1. Open the catalog and then open a warehouse card.

2. Click Warerooms at the top and click Create.

3. Fill the Description, Person responsible, and Job title fields.

Select how to register invoices and goods issues

Decide how the registration procedure control works in the system of the following documents:

  • Warehouse Goods issue
  • Invoice (Sales (invoice), Goods transfer, and so on)

You need to decide how these documents will be registered within a single end-to-end inventory transfer.

How to set up

When you activate the Orders first, then goods issues and invoices option, further steps are the following:

  1. Set a goods issue order status to Confirmed.
  2. Register a goods issue for the order.
  3. Ship the goods from the warehouse.
  4. Register a financial document. For example, an invoice.

Note

You can also activate the Orders and invoices first, then goods issues option. In this case, further steps are the following:

  1. Set a goods issue order status to Confirmed.
  2. Register a financial document. For example, an invoice.
  3. Register a goods issue for the order.
  4. Ship the goods from the warehouse.

How to set up

Select the Warehouse keeper option. This way, a user responsible for warehouse operations can manually register goods issues based on goods issue references. In the Goods issue from warehouse workplace, you can see goods issue references at the top and goods issues at the bottom.

Note

You can also select other options:

  • Automatically. The system will automatically register goods issues when posting shipping documents, such as orders and invoices. The Goods issue from warehouse workplace contains a list of automatically generated documents with the Prepared status.
  • Employee. The user who initiates the inventory flow will manually register goods issues. To create and prepare goods issues, use order or invoice forms (Generate > Goods issues). Goods issue from warehouse contains the list of registered goods issues only.

Select Register receipt of goods

You can apply the setting to "goods in transit" or "uninvoiced deliveries" only. Depending on the setting, you can select what document will be used to receive goods to the warehouse.

Usually you specify such setup in Vendor contract. However, you can specify the default setup at the global level.

Activate Packing lists

Here you can activate inventory flow by packing lists. When you create warehouse documents, the table shows the list of cargo packaging. There, it can be packaging for documents of the same type or a packing list that includes goods packaging or other packing lists.

Under goods receipt, a packing list is a list of goods in a packaging unit. With packing lists, a warehouse keeper can receive goods in packaging units without opening them and recounting the inventory inside. The warehouse keeper can also fill the list of the goods automatically.

Under goods issue, a packing list is a list of goods that are being packed. With packing list records, you can issue goods in packaging units without opening them and recounting the inventory inside.

What you can do after activation

Now you can use the Packing lists catalog.

Select Packing list label template

Specify a predefined template to print a packing list label.

In the template, specify the Barcode type. For example, a packing list can have type Code39 or type Code128.

You can edit the template and create new templates from it.
