Batches catalog

A batch is a quantity of goods that you treat as a homogeneous unit with unique specifications. A batch can represent the following:

  • Quantity of goods produced in a single manufacturing run.
  • A collection of product items received for consignment sale.
  • A collection of product items supplied to a subcontractor for processing.

You can use batches to track products by expiration date or other attributes relevant to your business process.

Using batches requires that you specify a product batch in sales or purchase documents. Then you can view stock, sales, or purchase reports by batches.

Batches are available if the Inventory accounting by batches checkbox is selected in Settings > Purchases / Warehouses > Inventory (products).

To manage product batches, use the Batches catalog. You can do the following:

Viewing product batches

To view product batches:

  1. Go to Sales > Catalogs > Products.
  2. Double-click a product line.
  3. At the top of the product card, click Batches.

The Batches list columns can vary depending on the list settings. By default, the following column is available:

  • Description. A product batch name or short description.

To quickly find a product batch:

  • Sort the catalog by column by clicking a column header. To change the sorting order, click the header again.
  • Search the catalog using the search field above the list.

To view the product batch details:

  • In the Batches catalog, double-click a product batch line.

Registering product batches

You have the following options:

You can register as many product batches as you need. When you add the product to a sales or purchase document, open the Batches list from the Batch column and select a batch.

Registering product batch in product card

To register a product batch:

  1. Go to Sales > Catalogs > Products.
  2. Double-click a product line.
  3. On the product card, select the Additional data tab.
  4. In the Invoicing section, select the Batches checkbox.
  5. At the top of the product card, click Batches.
  6. Click Create.
  7. In the Product batch (create) window, fill in the batch fields:
    • Lot number. Lot number of the product.
    • Manufacturer. The product batch's manufacturer. The list of manufacturers is based on the Counterparties catalog.
      This field is automatically populated from the product's Manufacturer field if available. It can be edited.
    • Manufacturing date. The date when the product batch was manufactured.
    • Expiration date. The date when the product batch is expected to expire.
    • Supplier. The supplier from which the product batch was obtained. The list of suppliers is based on the Suppliers catalog.
      This field is automatically populated from the product's Supplier field if available. It can be edited.

    Availability of these fields depends on the batch settings that apply to the product category to which this product belongs.

  8. Click Save and close.

Registering product batch in business document

You can register a product batch in a business document, if the Batches checkbox is selected on the product card.

To register a product batch:

  1. Open a business document.
  2. Add a product.
  3. Double-click the Batch field.
  4. In the Batches window, click create plus.png.
  5. In the Product batch (create) window, fill in the batch fields:
    • Lot number. Lot number of the product.
    • Manufacturer. The product batch's manufacturer. The list of manufacturers is based on the Counterparties catalog.
      This field is automatically populated from the product's Manufacturer field if available. It can be edited.
    • Manufacturing date. The date when the product batch was manufactured.
    • Expiration date. The date when the product batch is expected to expire.
    • Supplier. The supplier from which the product batch was obtained. The list of suppliers is based on the Suppliers catalog.
      This field is automatically populated from the document's Supplier (or equivalent) field if available. Otherwise, it is automatically populated from the product's Supplier field. It can be edited.

    Availability of these fields depends on the batch settings that apply to the product category to which this product belongs.

  6. Click Save and close.
  7. The batch appears in the Batch field.

To edit a product batch:

  1. Go to Sales > Catalogs > Products.
  2. Double-click a product line.
  3. At the top of the product card, click Batches.
  4. In the Batches list, double-click a batch line.
  5. Edit the batch details. To learn more, see Registering product batches.
  6. Click Save and close.

Editing product batch in business document

To edit a product batch:

  1. Open a business document.
  2. Double-click the Batch field.
  3. Click view_icon2.png.
