Here you will learn how to enable and create system objects related to the warehouse system at the enterprise.

Warehouses are areas for storing inventory. Warehouses are also called warehouse areas. Warehouse areas are common for all companies you account for in the same infobase. In other words, you can keep goods that belong to different companies within a single warehouse.

Wholesale warehouses are used to register wholesale operations and fulfill the internal enterprise demand. When you register retail sales, you cannot select such warehouses.

Warehouses are used in various fields of logistics. For example, in supply logistics and sales (distribution) logistics. In each of these fields, warehouse operations have their own specifics.

The warehouse structure is created based on the inventory management practice applied at the enterprise. The enterprise can manage distribution warehouses separately or centrally. Centralized management takes more effort to coordinate inventory flows and requires advanced information support.

Once you take all the steps from the instruction, you create an up-to-date structure of enterprise's warehouses.

You can use the Warehouses and stores catalog.

Warehouses and stores catalog: Wholesale warehouse

Here you can create Warehouses and stores catalog records.

To keep the warehouse structure, use a special catalog. You can use the catalog to keep the list of warehouses, stores, and other storage locations of the company inventory. In the catalog, store all the locations where received or manufactured materials are kept and for which documents on their use are not provided:

  • Separate storage locations
  • Shop floor stockrooms
  • Responsible persons
  • Work teams
  • Vehicle tanks and so on

We recommend that you keep a separate warehouse if one or more of the following conditions are met:

  • A warehouse is geographically isolated from other storage locations.
  • Storage conditions for goods are different.
  • Warehouse operation management is unified.
  • A certain employee is responsible for the safety of property.

How to keep the catalog structure

1. Open the catalog and click Create group.

2. Fill the Description field.

3. Select a parent catalog item.

Note

We recommend that you use warehouse groups to combine warehouses by various geographical locations.

How to create a warehouse record

1. Open the catalog, click Create, and select the Wholesale warehouse type. If the Retail sales checkbox is cleared in the Sales settings, all warehouses are considered as wholesale warehouses by default.

3. Fill the Description field and select a parent catalog item in the Warehouse group field.

3. Click the Main tab and fill the Business unit field. Under Responsible person, fill the Name and Job title fields.

4. Specify Work schedule.

5. Click the Addresses and phones tab and fill the fields. To find out how to manage the address information, see Contact information kinds catalog.

How to set up available inventory control

1. Open the catalog and then open a warehouse card.

2. Click More actions → Allow attribute editing. Select the options and click Allow editing.

3. Click the Main tab and select the Control available inventory check box.

Note

Available inventory control is one of the key operational management functions of trading or manufacturing enterprises. In particular, it helps you timely warn employees that the quantity of inventory they want to issue from a warehouse exceeds the actual stock. This way you'll avoid all subsequent organizational issues with such references.When available inventory control is enabled, shipment of goods and works reduces the following:

  • Actual and available stock
  • Remaining works in business units

This control is exclusively operational. It is performed automatically when you post the document. Available inventory is calculated when an operation is actually run.

If available inventory is not enough, you can use the reserve generated earlier under the reserve document (order).

Activate Goods transfer

Here you can enable registering documents of goods transfer between trading enterprise warehouses. To do it, enable the "Multiple warehouses" option.
