Here, you will learn how to activate system objects and create records required to manage R&M of vehicles, equipment, buildings, facilities, and other enterprise assets.

Activate R&M management

At first, activate the basic functions of R&M planning and execution.

What you can do after activation

You'll get access to the main objects of the R&M management subsystem, including:

  • Assets catalog
  • Maintenance program and Maintenance schemes catalogs
  • Problem categories, Operating time units, R&M work types, and R&M works catalogs
  • Documents to register a maintenance program
  • The item form of the Assets catalog displays additional groups of Repair and maintenance attributes.

Activate Sub-assets

At this step, activate the functions that ensure keeping detailed asset breakdown structure up to sub-assets and aggregates, as well as ensure planning and execution of repairs up to sub-assets and asset aggregates.

Sub-asset is a separate part of a fixed asset with a specific purpose and operating conditions that affect its useful life and depreciation period. For example, a processing center can be divided into separate sub-assets: a control cabinet (repaired in an electric shop), a unit of executive machinery (maintained by a third party), and so on.

Sub-asset specifics:

  1. A sub-asset belongs strictly to a certain asset.
  2. Operating time can be recorded separately for a sub-asset.
  3. You can move sub-assets from one asset to another.
  4. In this case, operating time parameters of the moved sub-asset are preserved.
  5. For sub-assets, you can define specific service classes, a specific R&M business unit, or a specific R&M expense item.

What you can do after activation

When you select By line of business, an assignment object is a line of business. It allows you to satisfy demand for materials to be used in the maintenance program for a line of business.

When you select By R&M order, an assignment object is an R&M order. It allows you to satisfy demand for materials for a certain R&M order. You can use such materials to perform R&M activities only within a certain R&M order, for which these materials have been provided and reserved.

Maintenance program catalog

Here you can create a new catalog of maintenance programs.

Maintenance program is a dimension used to unite R&M orders by arbitrary common criteria.

Operating time units catalog

Here you can create a list of special indicators to register operating time of assets and their sub-assets.

How to create an operating time unit record

1. Open the catalog, select a group, and click Create.

2. Specify the Description of the operating time unit, and select Unit of measure.

R&M work types catalog

Here you can create a list (classifier) of R&M types that does not depend on maintenance schemes.

R&M work type specifies the common nature of performed R&M. For example, overhaul, maintenance, and so on.

How to create an R&M work type record

1. Open the catalog and click Create.

2. Specify Description.

3. Select Account for R&M expenses: Specify manually (and select an Expense item) or Copy from asset.

Problem categories catalog

At this step, create a list (classifier) of problems that one can observe in enterprise assets.

Maintenance schemes catalog: main data

Here you can create a list of R&M schemes. Set the rules of planning, execution, and registration of maintenance programs for each scheme.

Maintenance schemes classify fixed assets of the enterprise (transport, tools, equipment, buildings, and facilities) by some common R&M criteria.

Maintenance schemes unite assets and sub-assets by similar criteria, which include:

  • Certificate details
  • Operating modes
  • Operating time units
  • R&M works
  • R&M planning rules

In one scheme, you can create scheme options that define specific R&M planning rules to unite assets and sub-assets that belong to one scheme, but have different operating conditions. For example, equipment located outdoors must be maintained more often than equipment of the same brand located indoors.

Maintenance scheme list is a part of the enterprise R&M program and can include industry classifiers and regulations.

How to create a sub-asset maintenance scheme record

1. Open the catalog, select a group, and click Create.

2. Specify the Description and select Assignment: Yes.

4. Select Subordinate maintenance scheme: Disabled.

How to create a record of sub-asset maintenance scheme option

1. Go to the catalog and open the previously created Sub-asset maintenance scheme.

2. Select Subordinate maintenance scheme: Enabled to activate scheme options.

3. Go to the Maintenance scheme options and click Create.

4. Specify the Description.

5. Click the Details tab and fill additional information.

How to set up operating time units for a maintenance scheme

1. Go to the catalog and open the previously created (Sub-asset) Maintenance scheme (option).

2. Click the Operating time units tab, click Select, and select available Operating time units.

3. Select Residual lifetime: Yesor No.

Note

Residual lifetime is a parameter that is used to predict the date of next asset/sub-asset maintenance based on average daily operating time units.

4. Select Registration method: Manually. Specify a value in the Frequency (days) column to register indicator values. If necessary, select Recalculate average daily value and specify the Minimum (days) and Maximum (days) parameters.

Note

Recalculate average daily values that are parameters defining the average daily asset activity value.You can also select From other asset to copy operating time values of an asset being used at the same time as the current one.

How to set up attribute control for a maintenance scheme

1. Go to the catalog and open the previously created (Sub-asset) Maintenance scheme (option).

2. Click the Attribute control tab and look through available Attributes.

3. Select the Attributes for which the filling check will be Required.

R&M works catalog

Create a list of R&M works to be applied to a maintenance scheme.

R&M work is a combination of actions being a planning item or a management item related to maintenance programs. In the application, R&M works are described only by maintenance schemes. You can specify R&M works in the item card of the Maintenance schemes list.

How to create an R&M work for a maintenance scheme

1. Open the catalog, select Maintenance scheme and R&M work type in the catalog filter, and click Create.

2. Specify the Description.

3. Specify the standard Duration of R&M in days/hours/minutes.

4. Select how often you want to Generate orders: Daily/Weekly/Monthly and the horizon of workdays in advance.

Note

The planning frequency (daily, weekly, or monthly) and planning horizon are specified here. The planning frequency defines the response period for required planned R&M of equipment significant for its management.

5. Select Consider the operating business unit work schedule during R&M scheduling.

How to fill a bill of materials for an R&M work

1. Go to the catalog and open the previously created R&M work.

2. Click the Materials and works tab, fill the table with Items of materials and works, and specify their Quantity.

3. Click the Labor costs tab, fill the Activity kind table, and specify the Quantity parameter.

Note

The points above define the following:

  • Standard demand for materials consumed directly in the operating business unit and works requested by the operating business unit from other enterprise units or third parties.
  • Standard labor costs by kinds of activities performed directly by the operating business unit.

Maintenance schemes/scheme options catalog: specify R&M works

At this step, define the list and order of R&M works for a maintenance scheme.

  • R&M cycle is a set of rules for planning preventive R&M works applied to keep certain equipment in operable condition. The frequency of such R&M activities is set by R&M interval.
  • Other R&M activities (one-time repairs) is a set of R&M works assigned independently (not within the cycle). For each R&M work, one-time repairs might be required based on asset activity value or its operating time. You can select an arbitrary unit of measure for asset activity values. One-time repairs can be applied simultaneously with R&M works from the R&M cycle.

How to set up an R&M cycle for an asset

1. Open the catalog. Open the previously created Maintenance scheme. You can also go to the Maintenance scheme options and open the previously created document.

2. Click the R&M cycle tab and select one of the options for R&M cycle interval by: Activity units or Time.

3. Click Add in the tab table and select R&M work.

4. Select a Unit of measure for R&M cycle calculation: asset activity units or time (day, month, or year).

5. Specify an R&M interval in the selected units of measure.

How to set up one-time repairs for an asset

1. Open the catalog. Open the previously created Maintenance scheme. You can also go to the Maintenance scheme options and open the previously created document.

2. Click the Other R&M activities tab, click Add in the tab table, and select an R&M type.

3. Select one of the calculation options for R&M cycle interval: Interval by: Asset activity or Time.

4. Select a Unit of measure for R&M cycle calculation: asset activity units or time (day, month, or year).

5. Specify an R&M interval in the selected units of measure.
