How to create a country record

1. Open the Countries catalog and click Create.

2. Specify Description, Full description, and Country name.

3. Specify Code, Alpha-2 code (https://en.wikipedia.org/wiki/ISO_3166-1_alpha-2), and Alpha-3 code (https://en.wikipedia.org/wiki/ISO_3166-1_alpha-3).

4. Select the It is a regional calendar check box. If necessary, select a country from the Official calendar catalog.

Select Main country

Here you can select a country where your company mainly operates or where the main office is located.

What you can do after activation

The application uses the default country in operations.

Business calendars catalog

Here you can create and set up a list of business calendars used by various business units and company groups.

Use business calendars to view up-to-date information about working days, days off, public holidays, and substitute holidays (non-work days).

The application provides a standard business calendar with a five-day working week and two days off on Saturday and Sunday, without public holidays and pre-holidays.

In a business calendar, you can also plan sales and operations, capacity of work centers, draw up a production schedule, and carry out other tasks.

1. Open the catalog and click Create.

2. Specify Description and Code.

How to fill calendar days with default settings

1. Open the catalog and open the previously created record.

2. Click Set default holidays.

Note

The application will automatically fill the calendar with the default data: a five-day working week and two days off on Saturday and Sunday, without public holidays.

How to fill calendar days manually

1. Open the catalog and open the previously created record.

2. Select a day and click Change day. In the drop-down list, select a value.

How to move calendar days manually

1. Open the catalog and open the previously created record.

2. Select a day, click Substitute day, and select a substitute day.

Work schedules catalog

Different operational functions or company business units can have different schedules and shifts.

Here you can create and set up a list of work schedules used by various business units and company groups.

Work schedules contain a standard schedule of available human resources in the company for a working day or a pre-holiday. Work schedules include the number of hours and days in a week or another period. Use work schedules to plan and control the work of business units operating in one or several shifts.

We recommend that you create separate work schedules for:

  • Management business units
  • Production business units (shop floors, work teams)
  • R&M business units (work teams)
  • Warehouse business units
  • Procurement business units
  • Transportation business units

How to create a work schedule

1. Open the catalog and click Create.

2. Fill Description and Details.

3. Fill in schedule from: to:.

4. Select a Business calendar, to which the work schedule is related.

5. Select how to fill the schedule.

Note

You can select from the following options:

  • By weeks.
  • By periods N days long, starting on a certain day. If you select this option, you will see a standard period template with the specified number of days. Usually this option is used for rotating shifts.

6. Select the Skip holidays check box if applicable for this work schedule. In this case, the application will automatically exclude all public holidays from the work schedule.

7. Set the Planning horizon, months to fill the schedule for future periods automatically.

8. Go to the Template window and click Fill in the schedule for the first day.

9. In the Work schedule window, click Add and specify the work intervals during the day.

Note

You can also fill a schedule for a pre-holiday.In the Preholiday schedule field, click Fill in the schedule.In the Work schedule window, click Add and specify the work intervals during the day.

Select Enterprise schedule

Here you can specify an enterprise schedule.

What you can do after activation

The application uses

  • rates relative to the company's local accounting currency to recalculate amounts in accounting currency.
  • In other cases, for example, to recalculate prices from one currency into another, rates relative to the default base currency are used.

Here you can select a management accounting currency for your enterprise.

A management accounting currency is a currency used to estimate the activity of an enterprise or a company group as a whole and to keep management accounting.

Now you can set up a functional currency for your company.

Persons catalog

Here you can create a list of persons to store detailed information about persons with whom your enterprise transacts business. Persons can be employees, advance holders, salespeople, and other.

You can also use this list to store data on persons such as passport details, dates of birth, a current account list, and other. Besides, you can create a list of persons' identity documents.

In a Persons catalog record, you can view the information about all interactions with a person (phone calls, emails, and other).

Now you can use the Business units catalog.

Business units catalog: structure

Here you can create a hierarchical list of enterprise business units. Use the catalog to store the enterprise management structure.

How you can use business units:

  • Use business units to account for enterprise income and expenses. Specify the business units in financial documents.
  • The application automatically fills the Business unit field in documents based on the information in the user record.
  • Specify the business unit information in the Warehouses, Cash accounts, and Bank accounts catalogs. The application automatically fills the Business unit field in warehouse documents based on the value in a warehouse record. The application automatically fills the Business unit field when exporting payment documents based on the value in a cash account or bank account record.

Carry out the initial catalog filling based on the enterprise's financial structure drilled down to responsibility centers. If there is no financial structure, you can carry out the initial filling based on the hierarchical organizational structure of the enterprise.

If you use the Budgeting subsystem and do the business budget planning, you can add responsibility centers different from business units to the catalog: expenses, income, profit, investments.

If you keep accounting for multiple companies in the infobase, do the following to avoid mixing up their business units:

  • Specify the company name in the business unit name. For example: Sales department Company A, Sales department Company B.
  • Specify companies as top elements in the enterprise hierarchy.

If you use production order planning in the infobase and the enterprise does not have a separate business unit that carries out this function (for example, production order department), create such business unit artificially.

Now you can use the Companies catalog.

Companies catalog: legal information

Here you can create a list of legal entities or persons whose business processes you will manage using system tools.

An enterprise can have multiple companies, including both legal entities and individual entrepreneurs. For such company, select Individual entrepreneur.

Specify abbreviated and full names in accordance with the official registration documents. Enter a working title that will be displayed in forms.

For each company or individual entrepreneur, specify the state registration number and the tax identification number. Also, specify information about company classification codes. For individual entrepreneurs, enter the registration certificate number and date.

Specify an internal unique Prefix of document numbers for each company. Within an infobase, all documents of a company will be numbered sequentially. They will differ from documents of other companies in the number prefix. When you print documents, the prefix is not printed.

How to create a company record

1. Open the catalog. Click Create → Legal entity or Individual entrepreneur, and then click the General information tab.

2. Select a Country of residence.

3. Specify Abbreviated and Full names, Working title, and Prefix.

4. Specify TIN, OGRN, and Registration date.

5. Click the Addresses and phones tab and fill contact information.

How to create an individual entrepreneur record

1. Open the catalog. Click Create → Individual entrepreneur, and then click the General information tab.

2. Select a Person and a Country of residence.

3. Specify Abbreviated and Full names, Working title, and Prefix.

4. Specify TIN, OGRN, and Registration date.

5. Click the Addresses and phones tab and fill contact information.

How to set up a company's functional currency

1. Open the catalog, open a previously created record, and click the Accounting policy tab. 

2. Select a Local accounting currency.

Note

The currency specified in the Local accounting currency field in the company accounting policy is used as a base currency to receive rates from the Relative exchange rates register when you recalculate:

  • Document amounts into the local accounting currency
  • Document amounts into the management accounting currency
  • Document amounts into the presentation currency of international financial accounting
  • Document amounts into the AR/AP currency

In other transactions where you need to recalculate one currency into another, for example, to recalculate prices or amounts in reports, the base currency is the one specified in Default base currency.

Authorized signatories catalog

Here you can create a list of all responsible persons of the company who have the right to sign documents.

A responsible person of the company is a person who holds a certain position (permanently or temporarily, based on an order or an authorization letter) and, consequently, is entitled to sign company documents. Use it to specify signatories in document print forms.

When you draw up a document, you can select any responsible person who currently has the right to sign documents. Besides, responsible persons can be selected automatically.

How to create an authorized signatory record

1. Open the catalog, select a Company, and click Create.

2. Select a Person responsible.

3. Select Main responsible person of the company or Authorized document signatory. If you select the second option, select a base document and specify its number and date.

4. Select a Person.

5. Specify a Job title.

6. Select one of the Working title options or enter your own title.

Here you can enable keeping the company Cash accounts catalog.

Here you can create a list of cash accounts where the company stores its petty cash.

A cash account includes places where petty cash is stored, for example, cash desks and boxes of business unit managers. Petty cash in cash accounts is stored separately for each company. If you store cash of different companies or in different currencies in the same place, we recommend that you register several cash accounts.

Besides, specify a list of cash accounts for which petty cash transactions are allowed.

How to create a cash account record

1. Open the catalog, select a Company, and click Create.

2. Select a Description or enter it.

3. Select a Currency.

4. Fill Business unit.

5. Specify a standard Cash deposit/withdrawal term. It is a period from the day petty cash is withdrawn from the company cash account to the day it is deposited to the current account.

6. Select the Allow receiving and transferring cash to other cash accounts check box, if necessary. Select a correspondent cash account.

7. Select the Operational cash account check box, if necessary. Select its assigned Person.

How to create a bank account record

1. Open the catalog, select a Company, and click Create.

2. Fill Account number. Select a Description or enter it.

3. Select the IBAN check box to check if the account number matches the format.

4. Select a Bank or create a record. To do it, click Create and fill the details in the new Settlement party record.

5. Select a Currency.

6. If applicable, select the Payments are made through a correspondent account in another bank check box, and then select a Correspondent bank.

7. Click the Account settings tab. Select an Account type and specify a Personal account number and a Personal account section.

8. Click the Accounting information tab and specify a responsible Business unit.

Activate Keep separate register of partners and counterparties

Here you can enable keeping the management and legal structure of companies of customers, vendors, and other partners separately.

With this function, you can:

  • Separate business interactions with partners in terms of management and local accounting.
  • Keep a partner business structure that includes multiple legal entities.
