In 1C:Drive, many documents have one or several print forms associated with them. Print forms are layouts for hard copies of business documents that a counterparty or your company might require.

For example, from a sales invoice you can generate a variety of print forms, including the invoice itself, goods delivery note, warranty cards for the sold goods, and more.

To generate a print form for a document:

  1. Open the list of documents for which you want to generate a print form.
  2. Do one of the following:
    • To generate a print form based on a single document, select or double-click a document line in the list.
    • To generate print forms of multiple documents at once, select their lines in the list while holding down Ctrl or Shift.
  3. Click Print and select a print form that you need.
  4. Review and, if necessary, change print options.
  5. Optional: Preview the print form to make sure it will look exactly as you want it to.
  6. Optional: Edit the print form if it requires some last-minute changes.
  7. Print, save, or email the print form.

Managing print options

When you click Print in a document list, you see the print options window before the print form itself is displayed. This way, you can review or change some aspects of the print form layout, the desired number of copies, and more.

If you do not see the print options window after clicking Print, it means one of the following:

  • The print options window is not displayed automatically (the Display print options before printing checkbox is cleared). To see it, click Settings on the print form.
  • The print form has no print options.

Different documents have different print options, depending on their purpose. Some of the most common print options are:

Print option Description
Language Language in which the print form will be displayed.
Number of copies to print Number of copies of the print form to print.
Product codes A set of codes that can be displayed for each product in the document, including:
  • HS code
  • Item #
  • Barcode
  • System code
Codes position A location on the print form where the product codes will be displayed. One of the following:
  • Product column
  • Separate column
  • Don't display
Taxes and prices Tax and price-related information that can be displayed for each product in the document, including:
  • Net amount
  • Tax
  • Discount
  • and more
Display print options before printing Indicates whether the print options window is displayed automatically before the print form itself is displayed.

Previewing print forms

Before printing, you might want to get an idea how a printed form will look on paper.

To preview a print form, click preview.png.

Editing print forms

If you need to add some last-minute changes to the print form before printing, click edit_false.png so that it changes to edit_true.png.

Now, you can double-click any section of the print form to edit or delete the text contained in there.

When finished with the changes, click edit_true.png so that it changes back to edit_false.png.

Be aware that the changes you make to the print form will not be saved. The next time you open this print form, it will be as it was before you made the changes.

Printing print forms

To print a print form to your default printer, click Print.

Saving print forms

Instead of printing, you might want to save a print form to a file for further use.

To save a print form, click save.png.

You will be prompted to choose several options on how to save the print form, including:

Option Description
Save location A location where the print form will be saved. One of the following:
  • Save to local folder. Saves the print form to a file in a folder on your computer.
  • Attach to document. Saves the print form as an attachment to the current document.
    To view the list of attachments, click Attachments in the document's link bar.
Format Destination file format (PDF, Microsoft Word, or many others).
Pack to archive Indicates whether the print form file will be compressed in ZIP format.
Transliterate file names Indicates whether non-Latin (for example, Cyrillic) characters in the print form file name will be converted to their closest Latin analogues. Select this checkbox for better compatibility with older operating systems.

Choose these options as you see fit and then click Save.

Emailing print forms

To email a print form, click email.png.

You will be prompted to choose several options on how to email the print form, including:

Option Description
Format Destination file format (PDF, Microsoft Word, or many others).
Pack to archive Indicates whether the print form file will be compressed in ZIP format.
Transliterate file names Indicates whether non-Latin (for example, Cyrillic) characters in the print form file name will be converted to their closest Latin analogues. Select this checkbox for better compatibility with older operating systems.

Choose these options as you see fit and click Select.

This opens the standard 1C:Drive email creation window. Select the recipients, change the email title or add some text if you want, and click Send.
