Bulk mailing

You might want to inform your customers about special proposals or send requests for quotations (RFQs) to your suppliers. To address this task, use the Bulk mailings tool. It helps you quickly send emails to multiple recipients.

Sending bulk emails

You can create an email from scratch or generate it from a source document such as an RFQ. A generated email has a prefilled information such as email text and recipients. This saves your time on data input.

To send bulk emails:

  1. Do one of the following:
    • To create an email from scratch, go to CRM > Tools > Bulk email and SMS, and click Create.
    • Go to Purchases > Purchases > Requests for quotation, double-click an RFQ, and click Generate > Bulk mailing.
  2. Fill in the email options.
  3. Specify the email text.
  4. Specify the recipients.
  5. Specify the additional information.
  6. Click Send messages.

Filling in email options

To fill in an email options, in the Bulk mailing card, enter or select the following:

Field Description
Sending method Indicates how to send a message.
Subject The email subject.
Create events

Indicates whether to save sent messages as events.

To save the messages, select the checkbox. Then you can track them by supplier.

Subject

An email subject.

It is automatically prefilled from the RFQ subject when you generate an email from an RFQ. Event subjects (templates) list.

Email account A sender email account.
Responsible manager An employee responsible for processing an RFQ email.
Status An email status. You can track emails by status in the supplier events list.
Mailing date The date and time 1C:Drive will send the email or text message.

Specifying email body content

An email can have a prefilled text. For example, when you generate an email from an RFQ, its requirements automatically go to the email text on the Content tab. You can edit the text.

To specify text:

  1. In the Bulk mailing card, select the Content tab.
  2. Enter text.

For editing, you have a toolbar with the following tools:

  • The Insert parameter menu. You can use it to insert the email date and time and the recipient name format.
  • Common text formatting tools.

Specifying recipients

An email can have a prefilled recipient list. For example, when you generate an email from an RFQ, its supplier list automatically goes to the email recipient list. You can edit it.

You have the following options:

  • Add recipients manually
  • Add recipients with the contact selection tool

Adding recipients manually

To add a recipient:

  1. In the Bulk mailing card, select the Recipients tab.
  2. Click Add.
  3. Enter or select the following:

Field Description
Contact A counterparty contact person.
How to contact A contact email.
Subject An email subject.

It is automatically prefilled from the RFQ subject when you generate an email from an RFQ.

You can edit it or select another subject from the Event subjects (templates) list.

Bcc Indicates whether you want to hide the recipient’s email address from other recipients.

To hide the email address, select the checkbox.

Add recipients with contact selection tool

You can use the contact selection tool to add multiple recipients at once.

To add recipients:

  1. In the Bulk mailing card, select the Recipients tab.
  2. Click Select contacts.
  3. In the Address book, select suppliers.
  4. Click Finish.

Specifying additional information

When you compose an email, you might want to specify additional information. You can do it as follows:

  1. In the Bulk mailing card, select the Additional information tab.
  2. Enter your notes.
