Reserving backordered products

1C:Drive supports the process of reserving products that need to be purchased for completing a certain sales order.

The process includes the following steps:

  1. Place sales orders.
  2. Backorder products.
  3. Receive and reserve backordered products.
  4. Optional: Transfer reserved products to another warehouse.
  5. Optional: Change reservations.
  6. Issue reserved products to customer.

Before you perform these steps, ensure the inventory reservation process is set up. For details, see Setting up inventory reservation process.

Placing sales orders

As you need to reserve products for a certain order, create a sale order.

When you create a sales order, do the following:

  1. In the Warehouse field, specify a warehouse that you want to issue the products from.
  2. On the Products tab, in the Quantity field, enter the number of product items to sell.
  3. To reserve the product quantity available in the warehouse, click Reservation and select Fill in column.

If the products are available, the available quantity is prefilled in the Reservation field. As you post the sales order, this quantity is reserved for the sales order in the specified warehouse. To cover the need in the remaining product quantity required for the sales order, place a backorder. See Backordering products.

Backordering products

To backorder products required to complete a sales order, create a purchase order based on the sales order. To do this:

  1. Go to Sales.
  2. Under Sales, click Sales orders.
  3. In the Sales orders list, locate a sales order and ensure that its Status is set to In progress.
  4. Click Generate > Purchase order.
    A purchase order is displayed. It is prefilled with the details from the sales order, including the following:
    • Warehouse. The warehouse where you want to receive and reserve the backordered products.
    • Quantity. The product quantity to buy. By default, it is prefilled with the product quantity not yet reserved for the sales order in the specified warehouse. For example, in a sales order, the product quantity is 10 and the reserved quantity is 2. Then, the quantity in the generated purchase order is 8. 1C:Drive records this quantity as backordered when you post the purchase order.
    • Reserve for. The sales order against which the purchase order is placed.
  5. Specify a supplier and edit other purchase order fields if required. For the description of the fields, see Purchase order fields.
  6. Click Post and close.

Receiving and reserving backordered products

You can reserve the backordered products as you record their receipt to a warehouse.

To reserve the backordered products, consider the following table. It shows the options to reserve the backordered products, business scenarios and steps for applying these options.

Generate a supplier invoice based on purchase order Goods delivery together with a supplier invoice
  1. Go to Purchases.
  2. Under Purchases, click Purchase orders.
  3. In the Purchase order list, select or double-click a line with a purchase order generated to backorder products.
  4. Click Generate > Supplier invoice.
    A supplier invoice is displayed. Its details are prefilled from the purchase order, including the following:
    • Order. The purchase order.
    • Warehouse. The target warehouse for receiving the backordered products.
    • Quantity. The quantity of the backordered products to be received and reserved.
  5. Review other supplier invoice fields and edit them if required. For the description of the fields, see Supplier invoice fields.
  6. Click Post and close.
Generate a goods receipt based on a purchase order Goods delivery before a supplier invoice
  1. Go to Purchases.
  2. Under Purchases, click Purchase orders.
  3. In the Purchase order list, select or double-click a line with a purchase order generated to backorder products.
  4. Click Generate > Goods receipts.
    A goods receipt is displayed. Its details are prefilled from the purchase order, including the following:
    • Order. The purchase order.
    • Warehouse. The target warehouse for receiving the backordered products.
    • Quantity. The quantity of the backordered products to be received and reserved.
  5. Review other goods receipt fields and edit them if required. For the description of the fields, see Creating goods receipts.
  6. Click Post and close.

Transferring reserved products to another warehouse

You can transfer the reserved products from one location to another. For example, transfer the reserved products to a certain warehouse upon a customer's request. As you transfer the products, their reservation is transferred as well.

The following table shows the options to transfer the reserved products, business scenarios and steps to apply them:

  1. Go to Purchases.
  2. Under Purchases, click Supplier invoices.
  3. In the Supplier invoices list, select or double-click a supplier invoice.
  4. Click Generate > Inventory transfer. An inventory transfer is displayed. Its details are prefilled from the supplier invoice, including the following:
    • From. The location to transfer the reserved products from.
    • Base document. The supplier invoice that the inventory transfer is based on.
    • Quantity. The product quantity to transfer. Edit it if required.
  5. Fill in the inventory transfer fields, including the following:
    • To. The warehouse to transfer the reserved products to.
    • Order. The sales order that the products are reserved for.
    • Reservation (on the Inventory tab). The reserved product quantity.
  6. Review and edit other inventory transfer fields if required. For details, see Creating inventory transfers.
Generate an inventory transfer based on a goods receipt Goods delivery before a supplier invoice
  1. Go to Purchases.
  2. Under Purchases, click Goods receipts.
  3. In the Goods receipts list, select or double-click a goods receipt.
  4. Click Generate > Inventory transfer. An inventory transfer is displayed. Its details are prefilled from the goods receipt, including the following:
    • From. The location to transfer the reserved products from.
    • Base document. The goods receipt that the inventory transfer is based on.
    • Quantity. The product quantity to transfer. Edit it if required.
  5. Fill in the inventory transfer fields, including the following:
    • To. The warehouse to transfer the reserved products to.
    • Order. The sales order that the products are reserved for.
    • Reservation (on the Inventory tab). The reserved product quantity.
  6. Review and edit other inventory transfer fields if required. For details, see Creating inventory transfers.

Changing reservations

You can change the product quantity reserved for a sales order linked to a purchase order. Do this in the same way as when reserving products in stock. For details, see Changing reservations. The only exception applies. If you change the reserved product quantity before receiving the backordered products, 1C:Drive ignores them while prefilling the inventory reservation document.

For example, in a sales order, the product quantity is 10 and 2 of them are reserved. The sales order is linked to a purchase order for 8 items. Then, If you generate the inventory reservation document to clear the reservation, the quantity in this document will be 2, not 2+8=10.

Issuing reserved products to customer

You can issue the reserved products to a customer. This will decrease the reserved quantity in the specified warehouse. The decrease can be only by a number that does not exceed the total product quantity reserved for the sales order.

To issue the reserved products to a customer, consider the following table. It describes the options to issue the reserved products, business scenarios and steps to apply the options:

  4. Click Generate > Sales invoice.
    A sales invoice is displayed. Its details are prefilled from the sales order, including the following:
    • Order. The sales order.
    • Warehouse. The warehouse where the products are reserved.
    • Reservation (on the Products tab).The total product quantity reserved for the sales order. This includes the product quantity reserved on the Products tab of the sales order and received for the backorder. For details, see Receiving and reserving backordered products.
  5. Review and edit other sales invoice fields if required. For the description of the fields, see Sales invoice fields.
  6. Click Post and close.
Generate a goods issue based on a sales order Goods shipment before a sales invoice.
  1. Go to Sales.
  2. Under Sales, click Sales orders.
  3. In the Sales orders list, select or double-ckick a sales order line.
  4. Click Generate > Goods issue.
    A goods issue is displayed. Its details are prefilled from the sales order.
