Creating inventory reservation documents

To create an inventory reservation document:

  1. Do one of the following:
    • To generate an inventory reservation document based on a source document, select or open the source document. Then, click Generate > Inventory reservation.
    • To create an inventory reservation document from scratch, go to Warehouse and under Warehouse, click Inventory reservations. Then, in the Inventory reservations list, click Create.
  2. Specify general details:
    • Fill in the Reserved for field to indicate a document that inventory is reserved for (or removed from reserve). This can be a sales order or work order, or a work-in-progress document that requires inventory reservation.
    • Fill in other fields as necessary.
  3. Specify the inventory to make or change reservation for. Use any of the following options:
    • To populate inventory from the document specified in the Reserved for, click import_data next to the field.

      Note. The specified document might also reserve inventory. For example, a sales order is for 10 L of orange juice. The sales order reserves 7 of them. Then, two inventory lines, for 7 L and 3 L, are populated to an inventory reservation document generated from this order. First line shows the current reserve, second line shows the quantity yet to be reserved. You can edit these lines as needed. To learn more, see Inventory reservation example.

    • To import inventory list from a spreadsheet file, on the Inventory tab, clickimport_data and follow the data import wizard instructions.
    • To select products from the Products catalog, on the Inventory tab, click Select. For details, see Product selection in business documents.
    • To add inventory manually, click Add and fill in product details. For details, see Inventory tab.
    • To find inventory by barcode, click import_data.

    Note. You can use various options to fill in reservation quantity or location for multiple inventory lines at once. For details, see Filling in inventory reservation quantity and location.

  4. Optional: On the Additional information tab, specify additional information.
  5. Click Post and close.

Filling in Inventory reservation quantity and location

When you create an inventory reservation document, you fill in inventory reservation quantity (in the Quantity field) and location (in Original location and New location fields). You can do this manually for each line or for all lines at once using the following options above the inventory list:

Option Description
New location > Allocate Use it to populate a reservation balance and warehouse from an order to the Quantity and New location fields.
For example, there is a sales order for orange juice, apple, and carrot juice in the Main warehouse. The ordered quantity is 100 L of each juice. Orange juice is completely reserved by the sales order. To reserve the others, we generate an inventory reservation document from that order and click New location > Allocate. This populates Main warehouse to lines with apple and carrot juice. The Quantity field for these lines is filled in depending on stock currently available in the warehouse. If stock is sufficient, 100 L is filled in each of these lines. If stock is insufficient for an inventory line, the line is split into two lines. One of them contains currently available quantity. The other one contains the remaining quantity. You can reserve it in another warehouse.
This option is suitable if you want to make or increase inventory reservation for an order in the same warehouse.
New location > Clear Use it to clear the Quantity and New location fields.
Fill > Existing reserves Use it to populate the reserved quantity and warehouse from an order to the Quantity and Original location fields. For example, there is sales order for 10 L of orange juice in the Main warehouse, 7 L of them are reserved by the sales order. We generate an inventory reservation document from that order and click Fill > Existing reserves. This populates an inventory line with 7 L of orange juice and Original location set to Main warehouse.
This option is suitable if you want to transfer, decrease, or remove inventory reservation for an order.
Fill > Products without reserves Use it to populate an order's reservation balance to the Quantity field. For example, there is sales order for 10 L of orange juice in the Main warehouse, 7 L of them are reserved by the sales order. We generate an inventory reservation document from that order and click Fill > Products without reserves. This populates an inventory line with 3 L of orange juice. In this line, the Original location and New location fields are blank.
This option is suitable if you want to make or increase inventory reservation for an order. This can be a reservation for inventory items in the same or different warehouses, or a reservation allocated to another order (such as production order).
All products and reserves Use it if you want to apply a combination of the previous two options. For example, there is sales order for 10 L of orange juice in the Main warehouse, 7 L of them are reserved by the sales order. We generate an inventory reservation document from that order and click All product and reserves. This populates two inventory lines. The first line with 7 L of orange juice. In this line, the Original location and New location fields set to Main warehouse. The second line with 3 L of orange juice. In this line, the Original location and New location fields are blank.
This option is suitable if you want to apply various inventory reservation changes at once.
