Companies catalog

In 1C:Drive, a company is a legal entity or individual that performs business activities with the objective to generate profit.

Each business document in 1C:Drive is associated with a company.

By default, only one sample company is available in 1C:Drive and new companies cannot be created. To enable multiple companies, go to Settings > Company and select the Manage multiple companies checkbox.

1C:Drive stores the list of companies in the Companies catalog. To open it:

  1. Go to Company.
  2. Under Enterprise, click Companies.
The Companies catalog is only available if the Manage multiple companies checkbox is selected in Settings > Company.

The list displays details for each company. The details may vary depending on the list settings. The following details can be displayed by default:

  • Description. A company name or short description.
  • Prefix. A company prefix included in the numbers of the company’s business documents, if the document numbering settings are not defined otherwise.
  • Presentation currency. A base currency of a company’s business transactions.
  • TIN. A company’s taxpayer identification number.

Companies in the list can be marked or highlighted as follows:

Mark or highlight Description
marked_for_deletion Company that is marked for deletion.
predefined Predefined company.
Bold font Company that is set as the main company.

To quickly find a company:

  • Sort the catalog by column by clicking a column header. To change the sorting order, click the header again.
  • Search the catalog using the search field above the list.

Creating companies

To create a company:

  1. Go to Company.
  2. Under Enterprise, click Companies.
  3. In the Companies list, click Create.
  4. Specify general information:
    • Enter Legal name.
    • Select Presentation currency.
    • Set Company kind to Legal entity or Individual.
    • Fill in other fields as necessary.
  5. Optional: If the company is registered for VAT, specify VAT ID.
    If necessary, you can specify multiple VAT IDs. For example, different VAT IDs for different countries.

  6. Optional: On the Addresses, phones tab, specify the company's contact information.
  7. Optional: On the Logo and print tab, upload the company's logo to display in print forms of company documents.
  8. Click Save and close.
  9. You will be prompted to specify the accounting policy for the company. Click Yes and fill in the accounting policy details as described in Accounting policy.

Managing multiple VAT IDs

If the Use multiple VAT IDs checkbox is selected in Settings > Company, under VAT, you can specify multiple VAT IDs for a company and set one of them as default. The default VAT ID will be automatically prefilled in the company’s business documents.

To add more than one VAT ID:

  1. On the General information tab, select the Multiple VAT IDs checkbox.
  2. Click Add.
  3. Enter VAT ID data.
    Field Description
    VAT ID A company’s value-added tax identification number.
    Registration country A country where a company is registered for VAT.
    Registration date The date when a company was registered for VAT.
    Valid till The date when the VAT ID expires.
    Expired VAT IDs are displayed in grey.
    You can select the VAT ID in a company’s business document only if the document date is within the VAT ID validity period.

Repeat these steps to add as many VAT IDs as required.

By default, only valid VAT IDs are shown in the list. To view all VAT IDs including the expired ones, click Show expired. To return to the list of valid VAT IDs, click Hide expired.

To set a VAT ID as default:

  1. Select a VAT ID in the list.
  2. Click Set as default.

The default VAT ID is displayed in bold.

Setting main company

If you manage multiple companies and one of them performs the majority of your business activities, you can set it as the main company. It will be automatically prefilled in any business documents you create. This saves time on data input.

To set up the main company:

  1. Go to Company.
  2. Under Enterprise, click Companies.
  3. Select a company.
  4. Click Set main company.

The main company is displayed in bold.

Printing company attributes

You can print out a form that contains important information about the company, including its legal name, TIN, bank accounts, and contact information.
