Aging periods catalog
An aging period is a time interval in days during which a payment is overdue.
Aging periods are used in the Accounts payable aging and Accounts receivable aging reports to group overdue payments.
1C:Drive provides the Aging periods catalog. Each item of the catalog is a set of aging periods. Each set can contain one or several aging periods.
To open the Aging periods catalog:
- Go to Purchases or Sales.
- Under Catalogs, click Aging periods.
In the Aging periods catalog, you can:
By default, the catalog contains the following sets of aging periods in days: 1 – 7, 8 – 30, 31+ and 1 – 30, 31 – 60, 61 – 90, 91+ . The fist set is automatically applied to AR dashboard and AP dashboard (available from the Analysis menu).
You can create other sets of aging periods according to your company's business needs.
The beginning of the first aging period in a set indicates when a company starts to consider payments as overdue. To learn how it works, see the following table:
First aging period | Description |
---|---|
1 – 30 days | Indicates that a payment becomes overdue on the next date after the payment due date. |
0 – 30 days | Indicates that a payment becomes overdue on the payment due date. |
7 – 30 days | Indicates that a payment becomes overdue on the seventh day after the payment due date. |
The following example illustrates how payment amounts are shown by aging periods in the Accounts payable aging report on different report dates.
Example:
There is Supplier invoice #1 dated March 25, 2024. The payment amount is 100 USD. Its due date is March 31, 2024. Aging periods in days: 1 – 30, 31 – 60, 61 – 90, 91+.
Then, the Accounts payable aging report shows the invoice amount on different report dates as follows:
- The report date is March 25, 2024. The invoice payment is not due yet. The payment amount of 100 USD is shown in Current column of the report.
- The report date is March 31, 2024. The invoice payment is overdue for 0 days. It is not within the first aging period. The payment amount of 100 USD is shown in Current column of the report.
- The report date is April 1, 2024. The invoice payment is overdue for 1 day. The payment amount of 100 USD is shown as overdue in 1-30 column of the report.
- The report date is May 1, 2024. The invoice payment is overdue for 31 days. The payment amount of 100 USD is shown as overdue in 31-60 column of the report.
In the Accounts receivable aging report, aging periods are applied in the same way.
Viewing aging period sets
To view aging period sets:
- Go to Purchases or Sales.
- Under Catalogs, click Aging periods.
The Aging periods list contains the following column:
- Description. The description of an aging period set.
To quickly find an aging period set in the list:
- Sort the list by clicking the column header. To change the sorting order, click the header again.
- Search the list using the search field above the list.
Creating aging period sets
To create an aging period set:
- Go to Purchases or Sales.
- Under Catalogs, click Aging periods.
- In the Aging periods catalog, click Create.
- The Aging periods (create) window is displayed. Line #1 is added by default.
- In line #1, in the Lower bound, days field, review the beginning of the first aging period and change it if necessary.
To add more periods to the set: - Click Add. This adds line #2 for the second aging period.
- In line #2, in the Lower bound, days field, indicate the beginning of the second period.
As you do this, the end of the first aging period is automatically calculated and the Aging period description field of line #1 is updated. - Repeat steps 6-7 to add as many aging periods as you need.
- In the Description field, specify the name or short description for the set. You can type the name or select the automatically generated name based on the current list of aging periods.
This name will appear in the Aging periods setting of the Accounts payable aging and Accounts receivable aging report.
- Click Save and close.
Editing aging periods sets
To edit aging period sets:
- Go to Purchases or Sales.
- Under Catalogs, click Aging periods.
- Double-click a line with an aging period set.
- Change the aging period set in the same way as when you create the set. For details, see Creating aging period sets.
- Click Save and close.
