Creating vacancies

To create vacancies:

  1. Go to HCM.
  2. Under Recruitment, click Vacancies.
  3. In the Vacancies catalog, click Create.
  4. In the Vacancy (create) window, fill in the vacancy general details:
    • Description. A vacancy name or short description.
    • Company. The company that a vacancy is created for. Company is available only if the Manage multiple companies checkbox is selected in Settings > Company.
    • Department. The department that a vacancy is created for. Department is available only if the Use multiple departments checkbox is selected in Settings > Company.
    • Status. A vacancy status.
    • HR manager. The Human resources manager responsible for processing a vacancy.
    • Other details as necessary.
  5. On the Vacancy details tab, specify the job requirements and other information about a vacancy. To format the text, use buttons in the text toolbar. For example, change the font size, highlight text, or insert links.
  6. On the Stages tab, specify the vacancy processing steps. Use any of the following options:
    • To populate stages from a vacancy template, in the vacancy general details, click import_data.png next to the Template field. This option is applicable only if you have filled in that field.
    • To populate all stages from the Vacancy stages catalog, click Fill.
    • To add stages manually, click Add and select a stage from the Vacancy stages catalog.
  7. Optional: To rearrange the specified stages, use the following options:
    • To change the order of stages, select one or several stages and drag them to the required position in the list. Alternatively, select a stage and click arrow_up or arrow_down to move it up or down the list. To select several stages, hold down Shift or Ctrl.
    • To delete a stage, select it and press Delete on the keyboard or right-click it and select Delete.
    The order of stages is used to automatically fill in Stage in candidate interactions. The next stage will be automatically filled in each next candidate interaction created for the same candidate and vacancy.
  8. On the Approval tab, in the Approval text field, input the text of the approval letter that officially confirms a request for opening a vacancy. For example, the text of the email received from a manager who requests to fill in a certain job position. To edit the text, use buttons in the text toolbar. For example, change the font size, highlight text, or insert links.

    You can also fill in Budget code that identifies fund types and expenditures associated with this vacancy.

  9. Click Save and close.

General details

In the Vacancy (create) window, the vacancy general details include:

Field Description
Template A vacancy template.
After you select it, you can clickimport_data.png to populate its data to the vacancy card.
The templates list is based on the Vacancy templates catalog.
Position A job position that a vacancy is created for.
The positions list is based on the Positions catalog.
Reports to The employee to whom the hired candidate will report.
The employees list is based on the Employees catalog.
Salary The salary defined for a vacancy.
<currency code> The salary currency.
The currencies list is based on the Currencies catalog.
The field is available if the Foreign exchange accounting is selected in Settings > Cash management.
HR manager The Human resources manager responsible for processing a vacancy.
The managers list is based on the Employees catalog.
Description A vacancy name or short description. For example, "Sales manager (Middle East, remote)".
Code A vacancy ID.
It is automatically generated when you save the vacancy. You can edit it.
You can find vacancies by ID in the Vacancies catalog list.
Company The company that a vacancy is created for.
The companies list is based on the Companies catalog.
The field is available only if the Manage multiple companies checkbox is selected in Settings > Company.
Department The department that a vacancy is created for.
The departments list is based on the Departments catalog.
The field is available only if the Use multiple departments checkbox is selected in Settings > Company.
Status A vacancy status. One of the following:
  • Active. Indicates that a vacancy is being processed.
  • Canceled. Indicates that a vacancy processing is stopped. This can occur at any vacancy processing step. For example, because a company's management change their mind and no longer need to fill in a vacancy.
  • Closed. Indicates that a vacancy processing is competed and the vacancy is filled in.
  • Suspended. Indicates that a vacancy processing is temporarily stopped.
Active from...to The vacancy validity period.
