Objective

1C:Drive version 1.6.3 introduces the collaboration system that helps multiple users communicate more efficiently and improve productivity.

Collaboration system adds text- and video-chat functionality to 1C:Drive that is very similar to any popular messenger app. Basically, you create a chat (known here as conversation), invite people to it, and discuss whatever you need.

This article explains how to set up and use the collaboration system. After reading it, you will learn how to:

1. Preparing collaboration system for the first use

This section is intended for users with Administrator-level access rights only.

The collaboration system is disabled by default. To enable it, follow the steps below.

Once you have done this, the collaboration system will become available for all users of your 1C:Drive installation as soon as they sign on.

To enable the collaboration system:

  1. Log on as a user with Administrator access rights.
  2. Click Service and settings on the icon bar at the top right of 1C:Drive window.

  3. In Settings > Options, select the Technician mode checkbox.
  4. Click Service and settings again. Note that a new command has appeared in the menu – Functions for technician. Click it.
  5. In the Functions for technician function tree, expand Data processors section and double-click Collaboration system register in it.
       The Collaboration system register window will be displayed:

  6. In the Collaboration system register window, do the following:
    • In the Collaboration system server address field, enter “ws://collab.1ci.com:9494” (without the quotes).
      This is the address of the secure 1Ci server that will manage all data exchange through the collaboration system.
    • In the Subscriber email address field, enter an email address of your choice.
      NOTE. This email address will only be used as an ID for the collaboration system. This will not subscribe you to any service or mailing list.
    • Optionally, change Infobase name as you want.
    • Click Register.

Congratulations! The collaboration system is up and running.

2. Exchanging text messages

This section is intended for all users.
Please be aware that before you can start using the collaboration system, Administrator needs to enable it.
For more information, see Section 1 Prepare collaboration system for the first use.

Text chats in the collaboration system are called conversations.

There are two types of conversations you can choose from:

  • Global conversations. These are common chats in which anyone can participate (provided they are invited).
    To access the list of global conversations, just click Conversations tab at the bottom of the 1C:Drive window:

  • Object-specific conversations. These are linked to a specific 1C:Drive object, such as a sales order, a product, or a customer.
      Only users that have rights to access an object can participate in a conversation related to that object.
      Object-specific conversations are available on the pages of corresponding objects. For example, each sales order or each product has its own conversation:

2.1. Starting a new conversation

Starting a global conversation

To start a new global conversation, go to the Conversations tab and click https://kb.1ci.com/bin/download/OnecInt/KB/1C_Drive/Tutorials/1C_Drive_Turkish_Edition/Collaboration_system/WebHome/1749450540541-265.png. Then, enter a topic, choose participants, and click OK.

Please note that you need to choose participants explicitly. Leaving the participant list blank means that no one but you will see your messages.

For example, assume that system administrator wants to notify users about upcoming maintenance. They start a global conversation named System alerts and invite the users:

Then, they type in the message and send it:

Immediately, all other participants will see a notification:

If a user is not signed on to 1C:Drive at the time, they will see the notification as soon as they sign on.

Starting an object-specific conversation

Technically, users cannot start new object-specific conversations. Each object—like a document or product—has a conversation automatically started as soon as it is created. You cannot start additional conversations for objects. In other words, you have to use an object’s existing conversation.

Let’s discover how to do it.

 Asume that a sales rep wants to contact the warehouse manager about condition of goods to be sold under a specific order. They open the sales order, click 1749450540564-802.png, specify the warehouse manager as a recipient, and type in their message.

Note that the message is not only for the warehouse manager’s eyes. Any user who is allowed to view this sales order will be able to read this conversation. However, the warehouse manager will be the only one who receives a message notification.

So, it is strongly recommended that you select one or more recipients before you send your message. Otherwise, no one will be notified of your message, and therefore, no one will read it unless they open the object on their own.

2.2. Joining a conversation

Joining a global conversation

To join an existing conversation, just go to the Conversations tab. You will see the list of all conversations that you have started or been invited to. Conversations that have unread messages are marked in bold.

Just click a conversation and start chatting with your colleagues.

Joining an object-specific conversation

Open an object—like a document or product—and click 1749450540571-191.png. You will see the conversation history for the object.

Start chatting with your colleagues, but remember:

  • Persons without access to this object will not be able to view your messages.
  • Any person with access to this object will be able to view your messages.

2.3. Adding or removing participants

You can invite more participants to a conversation if you want. To do it, click 1749450540576-826.png in the conversation menu, then click 1749450540576-861.png, and add participants in exactly the same way you did when creating a new conversation.

For example, let’s see how to add a new employee to the departmental conversation:

To leave a conversation you no longer want to be in, right-click its name in the conversation list, and select Leave conversation. But be aware that you will not be able to join back until someone re-invites you.

Note that this section refers to global conversations only. Object-specific conversations have no participants; everyone who can access the object is a participant by default.

2.4. Pinning conversations

You can pin your most important conversations to your Favorites list. To do it, right-click a conversation in the conversation list, and select Get link.

Then, in the Get link window, click Add to favorites.

Now, you will be able to access this conversation from the Favorites menu.

3. Making video calls

This section is intended for all users.
Please be aware that before you can start using the collaboration system, Administrator needs to enable it.
For more information, see Section 1 Prepare collaboration system for the first use.

Collaboration system supports both one-on-one video calls and video conferences with up to 10 participants.

Before making your first video call, ensure that your camera and audio devices are set up correctly. To do that, click 1749450540587-844.png in the Conversations menu and select Settings. Then, under Video and sound, click Settings and check your camera, microphone, and speakers.

To start a video call, click 1749450540596-582.png in the conversation menu. Then, select up to 10 participants and click OK.

Note that you can see the online status of each user at that stage:

During a video call, you can:

  1. Add more participants (up to 10 total).
  2. Create a new conversation to exchange written materials or share files.
  3. Share your screen so that other participants can see it.
  4. Mute your microphone.
  5. Turn off your camera.

4. Sharing files

This section is intended for all users.
Please be aware that before you can start using the collaboration system, Administrator needs to enable it.
For more information, see Section 1 Prepare collaboration system for the first use.

Sharing files with other  users through the collaboration system is very easy. To share a file, just click 1749450540600-258.png in a conversation, select a file, type in an accompanying message (if you want one), and click Send.

The other participants will see it like this:

They will be able to download the file by clicking its name.

All uploaded files are securely kept on the 1Ci server and cannot be accessed from outside 1C:Drive.
⚠ Please keep in mind the following limitations on file uploading:

  • Maximum file size allowed is 50 MB.
  • Files are retained for 30 days and deleted afterwards.

There is no technical limit on how many files one user can upload, but please behave responsibly.

5. Viewing conversation history

This section is intended for all users.
Please be aware that before you can start using the collaboration system, Administrator needs to enable it.
For more information, see Section 1 Prepare collaboration system for the first use.

All conversations are retained on the server side and can be viewed at any time.

However, you can quickly search through all conversations at once. To do it, click 1749450540602-681.png in the Conversations menu and select Message history.

In the Message history window, click a specific date on the calendar to view all messages that were sent on that date in all conversations you have access to.
To view only messages sent by specific user, select this user in the From field.
