Creating companies

To create a company:

  1. Go to Company > Enterprise > Companies.
  2. Click Create.
  3. Specify general information.
  4. Specify addresses and phone numbers.
  5. Specify additional information.
  6. Specify logo and print settings.
  7. Click Save and close.

You will be prompted to specify the accounting policy for the company. Click Yes and fill in the accounting policy details as described in Accounting policy.

Specifying general information

To specify general information:

  • On the General information tab, enter or select the following:
    Field Description
    Legal name An official company name. It is shown on the print forms of the company’s business documents.
    Alias A company name for quick identification in 1C:Drive. This company name is applied to business documents.
    You can use this name to search for a company in 1C:Drive.
    Prefix A prefix included in the numbers of the company’s business documents. For instance, a prefix can be an abbreviated company name.
    Numbers with prefixes help easily identify documents.
    The Prefix field is available if the Use customizable documents numbering checkbox is cleared in Settings > Application settings > Documents numbering.
    Numbering prefix A prefix included in the numbers of the company’s business documents. For instance, a prefix can be an abbreviated company name.
    Numbers with prefixes help easily identify documents.
    This prefix can be a part of the document number series. The Numbering prefix field is available if the Use customizable documents numbering checkbox is selected in Settings > Application settings > Documents numbering.
    Company kind A company type. Select either of the following:
    • Legal entity. Indicates that a company is a legal entity such as a corporation or limited liability company.
    • Individual. Indicates that a company is a business entity with a single owner personally responsible for the business debts, losses, and liabilities. For instance, individual entrepreneur.
    Legal form A company’s form of business.
    The list of legal forms is based on the Legal forms catalog.
    It is only available if you select the Legal entity company type.
    Individual The company’s owner.
    The list of individuals is based on the Individuals catalog.
    It is only available if you select the Individual company type.
    Full name First name, middle name, and surname of the company’s owner.
    It is only available if you select the Individual company type.
    It is automatically populated from the Individual field. You can edit it.
    TIN A company’s tax identification number.
    It is shown on the print forms of the company’s business documents.
    EORI The European Union registration and identification number.
    It is used for the reference purpose only.
    Registration number A company registration number.
    It is shown on the print forms of the company’s business documents.
    Registration country The country where a company was officially registered.
    Registration date The date when a company was officially registered.
    VAT ID A company’s value-added tax identification number.
    The VAT ID field is available if the Use multiple VAT IDs checkbox is cleared in Settings > Accounting settings > Company > VAT.
    VAT registration country The country where a company was officially registered for VAT.
    VAT registration date The date when a company was officially registered for VAT.
    Multiple VAT IDs Indicates that a company is registered for VAT in several countries.
    If this applies to your company, select the checkbox and add your company’s VAT IDs. To learn more, see Specifying VAT IDs.
    Then you will be able to select VAT IDs in the company’s business documents.
    The Multiple VAT IDs checkbox is available if the Use multiple VAT IDs checkbox is selected in Settings > Accounting settings > Company > VAT.
    Functional currency A base currency of a company’s business transactions. Amounts in the company’s business documents will be converted into this currency.
    The currencies list is based on the Currencies catalog.
    The Functional currency field is available if the Manage multiple companies checkbox is selected in Settings > Company.
    Note. If the Manage multiple companies checkbox is cleared, 1C:Drive is set up for a single company. To specify the functional currency for the company, go to Settings > Accounting settings > Cash management and select the currency in the Functional currency field.
    Exchange rate method A method for converting foreign currencies into a company’s functional currency.
    Select either of the following:
    • Multiplier. Multiplies the amount in a foreign currency by the exchange rate to calculate the amount in the functional currency.
    • Divisor. Divides the amount in a foreign currency by the exchange rate to calculate the amount in the functional currency.
    The selected method is automatically applied when you register exchange rates and post business documents.
    Exchange rates import processor A data processor required for importing exchange rates from the internet. To learn more, see Importing exchange rates automatically.
    The list of data processors can vary depending on the 1C:Drive localized version. To learn more, contact the 1C International partner that provided you with the 1C:Drive distribution package.
    The Exchange rates import processor field is available if the Additional reports and data processors checkbox is selected in Settings > Application settings > Print forms, reports and data processors.
    Work schedule A schedule that defines working days and hours of a company.
    It is used for reference purposes and for scheduling production operations if work center types are not assigned to them. To learn more, see Production planning.
    A list of work schedules is based on the Work schedules catalog.
    Creditor ID A unique identification number that identifies a company as a creditor collecting direct debit payments.
    The Creditor ID field is shown in the print forms of the company’s direct debit mandates.

Specifying VAT IDs

The following description applies if the Use multiple VAT IDs checkbox is selected in Settings > Accounting settings > Company > VAT.

You can add multiple VAT IDs and set one of them as default. The default VAT ID will be prefilled in the company’s business documents.

To add a VAT ID:

  1. On the General information tab, select the Multiple VAT IDs checkbox.
  2. Click Add.
  3. Enter or select the following:
    Field Description
    VAT ID A company’s value-added tax identification number.
    Registration country A country where a company is registered for VAT.
    Registration date The date when a company was registered for VAT.
    Valid till The date until the VAT ID is valid.
    You can select the VAT ID in a company’s business document if the document date is within the VAT ID validity period.

Repeat these steps to add as many VAT IDs as required.

By default, only valid VAT IDs are shown in the list. To view all VAT IDs including the expired ones, click Show expired. To go back to the list of the valid VAT IDs, click Hide expired.

To set a VAT ID as default:

  1. In the VAT IDs list, select the VAT ID line.
  2. Click Set as default.

The default VAT ID is displayed in bold.

Specifying addresses and phone numbers

When you create a company, you can specify its contacts. This data is shown in the print forms of business documents such as a sales invoice.

To specify the company contacts:

  • On the Addresses, phones tab, enter the contact details such as phone, email, legal address, and actual address.

To add more contact details, click +phone, address. For example, add another phone number or email.

Specifying additional information

To specify additional information:

  • On the Additional information tab, enter or select the following:
    Information item Description
    Cash-in-hand account A company’s cash account. It is prefilled in the company’s business documents including sales invoice, sales order, purchase order, and supplier invoice. This applies if Payment method is set to Cash in these documents.
    Activity types A section for defining the scope of the company activities. You can add activity types. This information is for the reference purposes only.
    To add an activity type:
    1. Click Add.
    2. In the Activity type field, select an activity type.
    If an activity type is missing, click plus and add it.

Specifying logo and print settings

You can set up a company’s logo and signature image. They will be shown on the print forms of the company’s business documents.

To set up a company’s logo:

  1. On the Logo and print tab, click add_logo.png.
  2. Do any of the following:
    • Drag and drop a logo file to the Select file window.
    • In the Select file window, click Select from disk, select and open a logo file from your PC. Then click OK in the Select file window.
To preview a print form with the logo, click Preview of the Quotation print form.

To set up a company’s signature image:

  1. On the Logo and print tab, click Add signature image.
  2. In the Select file window, select and open the signature image.
If you do not have a signature image yet, click How to create signature image fast and easily. Then follow the displayed guidelines.
