The Pay codes catalog stores a list of pay codes and their description.

A pay code is an employee's earning code. It indicates the type of the employee's paid time. For example, regular working hours or overtime.

The Pay codes catalog is a mandatory part of the payroll process. You will need to specify pay codes in timesheets. You might also need to enter them in work orders while assigning work items to employees.

The Pay codes catalog is available if the Enable Payroll subsystem checkbox is selected in Settings > Payroll.

To open the Pay codes catalog, go to Payroll and, under See also, click Pay codes.

In the Pay codes catalog, you can do the following:

Viewing pay codes

To view pay codes:

  1. Go to Payroll.
  2. Under See also, click Pay codes.

The Pay codes list is displayed. By default, it shows the following pay codes:

Pay code Description
ANN Annual leave
BTP Business trip
HOL Holidays
OTM Overtime
REG Regular working hours
SCK Sick leave
WKD Weekend
Only the default REG pay code is currently applied to populate working hours to the payroll documents and calculate payroll payable.

To quickly find a pay code:

  • Sort the catalog by column by clicking the column header. To change the sorting order, click the header again.
  • Search the catalog using the search field above the list.

Creating pay codes

To create a pay code:

  1. Go to Payroll.
  2. Under See also, click Pay codes.
  3. In the Pay codes catalog, click Create.
  4. In the Pay code (create) dialog, fill in the following fields:
    • Pay code. А pay code. This can be a combination of letters, numbers, and special symbols. The maximum pay code length is 30 symbols.
    • Description. A pay code details. For example, a short description of the pay code purpose.
  5. Click Save and close.

Editing pay codes

To edit a pay code:

  1. Go to Payroll.
  2. Under See also, click Pay codes.
  3. In the Pay codes catalog, double-click a pay code line.
  4. Edit the pay code details. For the description of the fields, see Creating pay codes.
  5. Click Save and close.
