Payment allocation tab for Payment to supplier


In a bank payment with the Payment to supplier operation, the Payment allocation tab contains the payment allocation details. They specify documents that the payment amount is allocated to and the allocated amount for each document.

Field Description
Advance payment Indicates whether the bank payment records an advance payment.

Select this checkbox if the payment meets both of the following conditions:

  • It is for goods that are not yet shipped or services that are not yet provided.
  • It is not based on a supplier invoice with Invoice type = Advance invoice.
For example, select the checkbox if you register an advance payment under certain contract terms.
Contract The contract that you make payment under.
It is available if Contract management method is set to Manual in a supplier's card.
Document A document that registers a liability.

It is required only if the Advance payment checkbox is cleared.

Valid for EPD Indicates whether an early payment discount applies to the payment.

This field is relevant only if Document is a supplier invoice.

This field is read-only, as it is filled in the supplier invoice. To learn more, see Specifying early payment discounts.

Payment amount details Currency The payment currency.
It is automatically filled in and matches the currency of the bank account selected in the bank payment's general details.
Exchange rate The exchange rate of the payment currency against the presentation currency. It is applied to automatically calculate the payment amount equivalent in the settlement currency. For the calculation formulas, click here.
By default, the exchange rate effective on the bank payment date is filled from the Currencies catalog. You can change the filled exchange rate if one of the following conditions is met:
  • The payment currency does not match the presentation currency, while the settlement currency matches the presentation currency.
  • The payment currency matches the settlement currency, while the settlement currency does not match the presentation currency.
  • The payment currency, settlement currency, and presentation currency do not match.
To change the exchange rate, double-click the field and enter an exchange rate or select an exchange rate effective on a certain date.
Multiplier The payment currency multiplier. It is applied to automatically calculate the payment amount equivalent in the settlement currency. For the calculation formulas, click here.
By default, the multiplier effective on the bank payment date is filled from the Currencies catalog. You can change the filled multiplier if one of the following conditions is met:
  • The payment currency does not match the presentation currency, while the settlement currency matches the presentation currency.
  • The payment currency matches the settlement currency, while the settlement currency does not match the presentation currency.
  • The payment currency, settlement currency, and presentation currency do not match.
To change the exchange rate, double-click the field and enter an exchange rate or select an exchange rate effective on a certain date.
Amount The payment amount in the payment currency. By default, the amount from the bank payment's general details is populated. You can edit it.
EPD The early payment discount amount in the payment currency.

This field is relevant only if Document is a supplier invoice.

If the payment is valid for EPD, click Calculate EPD. This will automatically calculate and fill in the early payment discount amount. The calculation is based on the early payment discount details from the supplier invoice. You can edit the calculated early payment discount amount.

Tax % The VAT rate.

This field is available if the following conditions are met:

  • The company’s accounting policy states that the company is registered for VAT (the Registered for VAT checkbox is selected on the Finance tab).
  • On the bank payment's Additional information tab, Tax category is set to Domestic rates VAT.
Tax The VAT amount.

This field is available if the following conditions are met:

  • The company’s accounting policy states that the company is registered for VAT (the Registered for VAT checkbox is selected on the Finance tab).
  • On the bank payment's Additional information tab, Tax category is set to Domestic rates VAT.
Contract amount details Currency The settlement currency. It is populated from a supplier's billing details.
It is available if the Foreign exchange accounting checkbox is selected in Settings > Cash management.
Exchange rate The exchange rate of the settlement currency against the presentation currency. It is applied to automatically calculate the payment amount equivalent in the settlement currency. For the calculation formulas, click here.
By default, the exchange rate effective on the bank payment date is filled from the Currencies catalog. You can change the filled exchange rate if one of the following conditions is met:
  • The payment currency matches the presentation currency, while the settlement currency does not match the presentation currency.
  • The payment currency, settlement currency, and presentation currency do not match.
To change the exchange rate, double-click the field and enter an exchange rate or select an exchange rate effective on a certain date.
The exchange rate is automatically recalculated if the payment amount equivalent in the settlement currency is changed.
It is available if the Foreign exchange accounting checkbox is selected in Settings > Cash management.
Multiplier The settlement currency multiplier. It is applied to automatically calculate the payment amount equivalent in the settlement currency. For the calculation formulas, click here.
By default, the multiplier effective on the bank payment date is filled from the Currencies catalog. You can change the filled multiplier if one of the following conditions is met:
  • The payment currency matches the presentation currency, while the settlement currency does not match the presentation currency.
  • The payment currency, settlement currency, and presentation currency do not match.
It is available if the Foreign exchange accounting checkbox is selected in Settings > Cash management.
Amount The payment amount equivalent in the settlement currency. It is automatically calculated according to the specified exchange rates and multipliers. For the calculation formulas, click here. You can change the calculated amount if one of the following conditions is met:
  • The payment currency matches the presentation currency, while the settlement currency does not match the presentation currency.
  • The payment currency does not match the presentation currency, while the settlement currency matches the presentation currency
  • The payment currency, settlement currency, and presentation currency do not match.
EPD (contract ccy) The early payment discount amount in the settlement currency.
Order The order that defines the purchase terms.
This field is available if tracking accounts payable and accounts receivable by order applies to the supplier (the AR/AP details by order checkbox is selected in the supplier's card).
Planning document A document that registers a planned cash outflow. For example, a payment request or internal cash transfer (plan).
You can view the planning document in the Cash balance forecast report.
The field is available only if planning and forecast are enabled (the Cash flow projection checkbox is selected in Settings > Cash management, under Cash flow projection).
Cash flow item A cash flow item assigned to the payment.

You can view the cash flow item in the Cash flow report.

GL accounts The GL accounts for recording the paid amount.
The list of GL accounts is based on the Primary chart of accounts.
They are available if the default accounting is applied (Use default type of accounting is selected in Settings > Company).
Income and expense items An income and expense item for recording the amount of the early payment discount (EPD).
It is applicable if a bank payment is valid for EPD.
